Position Summary:

The Executive Assistant to the Superintendent and Cabinet ( Assistant Superintendent, Chief Finance Officer, and Chief Operations Officer) plays a critical leadership support role in a growing and dynamic school district. This position requires a highly organized, proactive, and solutions-oriented professional who can manage complexity, anticipate needs, and support executive decision-making at the highest level.

The Executive Assistant to the Superintendent and Cabinet provides comprehensive executive and administrative support, serving as a trusted partner, primary point of contact, and operational anchor for the Superintendent and Cabinet. This role also provides critical coordination across key governance, compliance, and district operational areas as the district grows in complexity and scale, requiring exceptional discretion, sound judgment, strong customer service skills, and the ability to manage multiple priorities while maintaining a calm, professional presence in a fast-paced environment.

Position Responsibilities:

Executive, Organizational & Operational Support
  • Provide high-level executive and administrative support to the Superintendent and Cabinet in a growing district environment.
  • Manage executive workflows by tracking, prioritizing, and following up on tasks, projects, deadlines, and special initiatives.
  • Anticipate leadership needs and proactively surface issues requiring attention, decision-making, or follow-up.
  • Serve as office manager for the Superintendent and Cabinet, ensuring smooth, efficient daily operations.
  • Coordinate calendars, scheduling, travel, conference registrations, and reimbursements.
  • Operate and troubleshoot office technology and productivity tools to support executive operations.
Communication, Coordination & Customer Service
  • Serve as the primary point of contact for the Superintendent and Cabinet, modeling professionalism, responsiveness, and strong customer service.
  • Coordinate communications between executive leadership, district staff, families, community partners, elected officials, and the public.
  • Answer, screen, and route phone calls; respond to inquiries; resolve routine issues or direct to appropriate personnel.
  • Receive and welcome visitors and support meetings, ensuring a positive and professional experience for all stakeholders.
