Aestheti Care is a leading aesthetic and wellness destination in the Kansas City metro with locations in Kansas City (Ward Parkway), Liberty, and Lenexa. The practice offers a broad range of advanced aesthetic and wellness services supported by a highly trained clinical team and a patient-first approach.

Position Summary

The Medical Scribe provides dedicated, real-time documentation and clinical support for Dr. Amy Carter, DO, ensuring accurate, compliant, and complete records across aesthetic and wellness visits. Dr. Carter is the Medical Director and a board-certified OB-GYN with over two decades of medical experience.

In this role, the scribe acts as Dr. Carter’s right hand during consultations and procedures—helping streamline patient flow, enhance the in-room experience, and ensure treatment plans, procedures, and follow-up instructions are captured with clarity and precision. This position may be filled by a PA, NP, or other qualified medical professional with exceptional documentation skills and comfort supporting a high-performing physician in a fast-paced medspa and wellness environment.

Key Responsibilities

Clinical Documentation

  • Accurately and efficiently document patient encounters in real time, including consultations, treatment plans, procedures, and follow-up instructions.
  • Record patient history, current concerns, allergies, medications, and prior treatment details.
  • Capture detailed notes for injectables, energy-based devices, laser treatments, and skincare services.

Provider Support

  • Act as the provider’s right hand during consultations and procedures, allowing them to focus on the patient.
  • Prepare and update treatment templates, charts, and procedural notes based on provider preferences.
  • Assist the provider with documenting aesthetic assessments, measurements, and clinical photos.

Operational Accuracy

  • Ensure compliance with medspa standards, HIPAA, and documentation accuracy.
  • Enter orders, treatment codes, and product/syringe usage into the EMR as directed.
  • Maintain accurate logs for injectables (e.g., Botox, fillers), lot numbers, expiration dates, and inventory changes.

Patient Flow & Experience

  • Support patient intake by reviewing charts, prepping files, and ensuring all documentation is ready for the provider.
  • Help manage efficient patient flow by organizing charts and anticipating provider needs.
  • Relay treatment notes to the front desk for proper quoting, scheduling, and follow-up.

Quality & Record Keeping

  • Proofread all chart entries to ensure clarity, completeness, and correct terminology.
  • Track ongoing treatment plans and ensure continuity across visits.
  • Maintain accurate digital files, before-and-after photo documentation, and consent forms.

Communication & Collaboration

  • Partner closely with injectors, estheticians, and clinical staff to coordinate care.
  • Communicate documentation needs or missing information with the provider.
  • Assist in preparing reports or pulling clinical data as needed.
Qualifications

Required

  • Must be a medical professional, NP or PA
  • Demonstrated excellence in real-time clinical documentation and strong command of medical terminology.
  • Ability to accurately capture details across aesthetic and wellness visits, including treatment planning, procedures, and follow-up instructions.
  • High attention to detail and commitment to HIPAA and documentation standards.
  • Comfortable supporting a high-volume physician workflow with professionalism, discretion, and calm efficiency.
  • Strong communication skills and ability to collaborate effectively with clinical and front desk teams.

Preferred

  • Prior experience in medical aesthetics and/or wellness settings.
  • Familiarity with documentation related to injectables, lasers, energy-based devices, and skincare services.
  • Experience with EMR order entry, treatment coding support, and inventory/lot tracking.
