The Senior Sourcing Manager serves as the primary liaison between hotel partners and the internal administration team, overseeing the sourcing and contracting of venues for approximately 20 group meetings at any given time. This role bridges the gap between client needs and supplier capabilities—evaluating hotel options, ensuring date and rate alignment, managing contract negotiations, and supporting the internal meeting specialists throughout the sourcing process.
The Senior Sourcing Manager combines strategic thinking with a strong command of contract language, industry insight, and negotiation skill to secure favorable terms while maintaining compliance with company standards. Acting as both an advisor and advocate, this person ensures every sourcing decision supports financial goals, minimizes risk, and strengthens supplier relationships.
Duties and Responsibilities- Act as the primary contact between hotel partners and the internal teams for group meetings.
- Review meeting requests and determine best-fit properties based on dates, destination, budget, and availability.
- Present hotel options and recommendations to the admin team, managing the back-and-forth communications to finalize selections.
- Negotiate and refine hotel contracts, ensuring favorable terms and clear risk mitigation.
- Review and adjust language related to attrition, cancellation, and other key clauses.
- Maintain strong relationships with hotel sales teams, understanding market dynamics and rate trends.
- Prepare and manage accurate program budgets, forecasts, and savings reports for all assigned meetings.
- Track cost efficiencies and document sourcing performance, such as frequency and spend by property or supplier.
- Support leadership with consolidated reporting to illustrate sourcing value and compliance.
- Monitor foreign exchange rates and assist other team members with international cost reviews when needed.
- Partner closely with the internal teams to align on sourcing needs and client expectations.
- Manage the full sourcing workflow (from RFP launch to contract completion) ensuring accuracy and timeliness.
- Maintain detailed documentation within sourcing and reporting systems for transparency and tracking.
- Ensure all sourcing practices adhere to internal procedures and client requirements.
- Provide informal leadership and guidance to sourcing coordinators and newer team members.
- Share best practices, negotiation strategies, and industry insights across the team.
- Stay informed on hospitality trends, supplier performance, and market shifts that may affect sourcing outcomes.
- Support special projects, site visits, and program audits as needed.
- 5–7 years of experience in hotel sourcing, procurement, or event/meeting management, with at least 4 years focused on group meetings or venue contracting.
- Deep understanding of hotel operations, group contracts, and industry terminology.
- Proven ability to negotiate complex contract terms and influence outcomes effectively.
- Strong analytical and organizational skills, with comfort using sourcing and reporting systems.
- Ability to manage multiple concurrent projects and maintain clear communication across teams.
- Experience providing mentorship or informal leadership within a sourcing or meetings environment.
- CMP or related industry certification a plus.
- Ability to travel up to 30% as needed.
