Job Title: Proposal Specialist
Classification: Non-Exempt
Salary Range: $24-$28 per hour
Reports To: Director of New Business
Position Type: Full Time
Work Schedule: M-F 8:00 AM - 5:00 PM
Job SummaryThe Proposal Specialist will be detail-oriented and highly organized and will support our Bid Team in the coordination, preparation and submission of proposals and bids. In addition, provide quotes to sales team based on specification requirements of customers.
Essential Functions- Generate proposal/bid responses to RFIs, RFPs, RFQs, etc.
- Ensure all responses meet compliance requirements
- Maintain the timeline for each bid response to meet deadlines
- Ensure responses reflect the company’s branding and messaging standards
- Submit pricing to sales team for customer requested vehicles
- Assist in evaluating RFP/bid opportunities
- Assist in the development, formatting and compilation of proposal response documents
- Track and manage response deadlines, ensuring timely submissions
- Maintain response content libraries, templates and boilerplate materials
- Coordinate input from technical, pricing, legal and executive teams
- Ensure compliance with customer requirements and company standards
- Format documents according to customer specifications
- Aid in the arrangement of submission documents
- Submit responses in the absence of the Bid/Sales Administrator
- Provide status updates and post-submission reviews/bid tabulations
- Monitor proposal portals and assist in opportunity tracking
- Coordinate with manufacturers on specifications to develop quotes for sales team
- Provide administrative support to Bid Team and Director of New Business
- Strong attention to detail, organization, problem-solving skills and time management
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (especially Word and Excel) with ability to become familiar with firm-specific programs and software
- Friendly and professional demeanor
- Ability to work autonomously as well as with team members
- Experience with government or commercial proposal submissions
- Familiarity with SharePoint and Adobe Acrobat
- Ability to multitask and manage competing priorities under tight deadlines
- Collaborative mindset with strong interpersonal skills
- High level of discretion and professionalism
