This person is not afraid to pivot between responsibilities without losing accuracy and provide exceptional client service - ideal for someone who wants to build a long-term career in administrative operations within the wealth management space.
- Deliver exceptional client experiences by managing a high volume of communications, scheduling, and service requests with speed and precision.
- Support financial advisors by preparing client review materials and maintaining account documentation.
- Own operational excellence by mastering CRM tools, managing calendars, and proactively resolving client service issues in a dynamic environment.
- Demonstrate initiative by actively learning, asking thoughtful questions, and seeking out ways to improve processes and client outcomes.
- Multitask effectively while maintaining accuracy and the ability to step back and see the big picture.
- Within 30 days:
Learn Pinion Wealth’s systems, tools, and client service standards. - Within 90 days:
Independently manage advisor calendars, client communications, and meeting prep in a high-volume setting. - Within 6 months:
Lead client service tasks with minimal supervision. - Within 12 months:
Continue refining administrative expertise and take ownership of key operational processes.
- 3+ years of administrative or operations experience (wealth management and/or high-level administrative experience preferred but not required).
- Strong organizational and communication skills, with a proactive mindset.
- Comfort with technology and CRM systems; proficiency in Microsoft Office Suite.
- High attention to detail, confidentiality, and follow-through.
- Ability to thrive in a fast-paced, high-volume environment while maintaining quality and professionalism.
- A natural curiosity and drive to learn, ask questions, and grow.
- Ability to multitask with accuracy while keeping the broader client and business goals in view.
- Notary Public certification or willingness to obtain.
- Series 7 and 65 licenses
