Reception Administrator opening for an award-winning, education-focused architecture firm located in Kansas City, MO. We offer an amazing office environment, culture, fun activities, market-based pay, and semi-annual bonus opportunities. This position requires an in-person Monday through Friday, 8am to 5pm schedule. Our ideal candidate has a background in reception, customer service, or a related field and possess a strong front desk administration skillset.

We are seeking a candidate who takes pride in their organizational and interpersonal skills as they will be the first point of contact, providing support for our amazing firm and clients!

The responsibility of this position is reception and administrative duties. The position requires a friendly and people-oriented approach to work, as well as strong organization and time management skills.

Basic Qualifications
  • Minimum high school diploma; GED; or completion of one year of college or technical school required.
  • A minimum of 2 years of administrative, customer service, or related professional experience required.
  • Architectural, Engineering, or Construction (AEC) firm experience preferred but not required.
  • Proficiency in Microsoft office required, specifically Outlook, Word, PowerPoint, and Teams.
  • Valid driver’s license and reliable transportation, as it may be necessary to perform work-related assignments outside the office.
  • You have documentation that allows you to work in the United States of America.
  • You have met the required background check and drug screen standards.
  • Exemplifies the qualities of accountability and thoroughness with a detail-oriented approach to tasks.
  • Possesses excellent verbal communication and interpersonal skills in both in-person and phone interactions.
  • Displays confidence and professionalism when screening calls and managing client requests.
  • Solves problems independently, employing critical thinking.
  • Displays thorough drive, commitment, and a results-oriented mindset, focused on a high level of quality.
  • Possesses strong organizational skills and ability to multi-task while managing time well and ensuring high efficiency and effectiveness.

Role Responsibilities

A member of the People + Studio Experience Pillar.

Reports to Office + Events Administrator.

  • Completes daily tasks and other duties as outlined in the Reception Manual.
  • Delivers exceptional service to our clients, visitors, and trade partners.
  • Acts as first point of contact for the Firm, creating a warm, friendly, and organized front office environment.
  • Manages incoming phone calls, using a multi-line phone system for the office, and serves as backup to other office locations as needed.
  • Greets and assists visitors, vendors, and clients, ensuring a positive and well-supported experience.
  • Responds promptly to requests from clients and team members for assistance or information.
  • Coordinates all deliveries and shipments, including managing incoming and outgoing mail, packages, shipping labels, and scheduled drop-offs outside the office.
  • Communicates internally via all-office emails, prepares monthly PowerPoint slide decks, and responds to administrative requests.
  • Acts as first point of contact for emergency services in the event of an emergency.
