Position SummaryThis role delivers a high level of professional administrative support to ensure operations remain organized, efficient, and seamless. The Senior Executive Assistant exercises strong leadership and collaboration skills to partner effectively with management, staff, and clients in advancing the organization’s strategic objectives. The position requires exceptional discretion and sound judgment in handling confidential, sensitive, and time‑critical information.
Basic FunctionAssist and serve as a direct extension of the Vice President of Operations by managing daily activities and supporting key business needs. Provide comprehensive administrative and operational support to the Property Management, Accounting, and Operations departments. Coordinate corporate and departmental meetings and events to ensure seamless execution. Communicate professionally with clients and vendors to maintain strong relationships and ensure consistent service delivery.
Experience/EducationAssociate or Bachelor’s Degree with 5 years’ experience in business operations or administrative support
Specific Skills RequiredProficient in the Microsoft Office Suite, with strong multitasking and problem‑solving abilities in a fast‑paced environment. Demonstrates proactive, intuitive, and professional judgment in all situations, maintaining exceptional attention to detail at every level. Highly flexible and self‑motivated, with a strong willingness to take initiative, work independently, and exercise discretion and sound judgment with minimal supervision. Possesses excellent interpersonal and communication skills, including advanced proofreading and editing capabilities.
Experienced in design platforms such as Canva, and able to quickly learn and adapt to industry‑specific software applications.
- Provide comprehensive administrative support to the Vice President of Operations.
- Support core business functions across Property Management, Accounting, Human Resources and IT, through coordination, documentation, and project assistance.
- Promote operational efficiencies and excellence while upholding positive, collaborative environment.
- Prepare a wide range of professional documents, including correspondence, contracts, reports, memos, statements, and related materials.
- Prepare, monitor, and track monthly invoicing and various accounting reports with accuracy and timeliness.
- Maintain and update internal and external databases, as well as organized digital filing systems.
- Serve as a professional point of contact for external clients and vendors.
- Design, implement, and oversee special projects and corporate events from planning through execution.
- Provide front desk coverage as needed and offer backup support to the Administrative Services team.
- Perform other duties as assigned to support departmental and organizational goals.
