Job Title: Executive Assistant - Business Operations

Job Summary: The Executive Assistant will provide support to our President, Business Operations as well as C-Suite Executives in the business office from time to time. The ideal candidate must be self-motivated, exhibit interpersonal and technical skills as well as maintaining a high-level of confidentiality and discretion. We are seeking an experienced administrative professional who is proactive and able to pivot as business needs arise.

Position Accountabilities/Responsibilities:
  • Organize, manage, and coordinate executive calendar, engagements, and travel schedule, such as flight and hotel arrangements
  • Planning and coordination of staff and external events including dinners, lunches and after hour activities
  • Coordinate with other stakeholders on various meetings and events that include high-level personnel
  • Must always display exceptional communication and customer service to stakeholders of the Royals organization
  • Prepare internal and external correspondence including meeting minutes, agendas, presentations, and materials
  • Utilize Concur Expense System to assist with processing expenses on behalf of the Executive Suite
  • Efficiently assist in prioritizing deadlines and other matters that may arise
  • Must exhibit detail-oriented behavior with extreme attention to detail
  • Possess ability for creative problem solving and to collaborate with others
  • Communicate directly and on behalf of executives with all members of the Royals organization
  • Others duties as assigned
Position Qualifications, Skills, and Experience Required:
  • Bachelor's degree, preferably within Business Administration or Communications
  • Minimum of 8 years' experience as EA to a C-suite or similar level professional
  • Proficient in Microsoft Office and Zoom and similar video meeting platforms (Outlook, Word, Excel, Teams, and PowerPoint)
  • Strong written and verbal communication skills
  • Excellent organizational and interpersonal skills
  • Team player with emotional maturity/emotional intelligence and ability to be effective independently
  • Ability to handle confidential information with discretion and integrity
Physical Requirements:
  • Ability to lift items weighing as much as 25 pounds
  • Must be able to work in a seated position for majority of workday
  • Must be able to be productive utilizing a computer keyboard and telephone
  • Must be able to be productive in a work environment where the noise level can be high at times
  • Must be comfortable walking to navigate the facility to access the office, concourse, etc.
  • Must be able to work extended hours and/or weekends as required by deadlines and event scheduling

This role is a Full-Time, Exempt opportunity that is eligible for Company Benefits, 401K, and PTO. This role is expected to have a standard 40-hour work week.
