Fleet & Facilities Scheduling – Team of 12 Schedulers Statewide Position Overview
The Scheduler I will support the Fleet & Facilities team in planning, coordinating, and scheduling all preventative maintenance and regulatory work for fleet units and facility equipment. This role works in a highly collaborative, cross‑functional scheduling team and requires strong communication, coordination, and organizational skills. Training and onboarding will be provided by the Senior Scheduler, who leads statewide training initiatives.
Key Responsibilities- Manage, maintain, and facilitate the scheduling of fleet and facilities regulatory preventative maintenance plans.
- Coordinate unit availability with operators, mechanics, maintenance workers, and supervisory staff across assigned regions.
- Schedule daily, weekly, and monthly work activities for the Kalamazoo, Battle Creek, and Hastings service areas.
- Communicate with on‑site teams to ensure proper work sequencing, unit downtime alignment, and resource availability.
- Coordinate with external vendors for fuel card administration, service coordination, and other maintenance activities.
- Support internal facility staff across buildings to address scheduling needs and operational requirements.
- Track workload, monitor open work orders, and elevate scheduling conflicts as needed.
- Maintain accurate data and documentation within SAP or other systems used by the team.
- Collaborate closely with the statewide team of 12 schedulers to share best practices and ensure consistent processes.
- Associate Degree in Business or related field – Required
- 1+ years of experience in scheduling, logistics, fleet coordination, or maintenance support
- Strong communication and organizational skills
- Ability to work fully onsite and collaborate with in‑house teams daily
- Automotive or fleet maintenance experience (highly desirable)
- Familiarity with maintenance workflows, priority setting, and operational planning
- SAP experience (preferred but not required)
- Experience coordinating with technicians, operators, vendors, and facility personnel
- Fully onsite at the Kalamazoo office; occasional travel to Battle Creek or other service centers for meetings.
- Part of a strong, connected scheduling team that supports each other and works cross‑functionally.
- Hands‑on collaboration with mechanics, supervisors, operators, and facility staff daily.
- Comprehensive, hands‑on training and onboarding provided by the Senior Scheduler.
