Administrative Assistant

Our client, a well-established manufacturing organization in the Kalamazoo area, is seeking a reliable and organized Administrative Assistant to support daily office operations. This role is ideal for someone who is proactive, detail-oriented, and enjoys being the go-to person in a fast-paced environment.

Position Overview
The Administrative Assistant will provide support to leadership and various departments by handling clerical tasks, coordinating schedules, and ensuring smooth day-to-day office functions. The ideal candidate is professional, resourceful, and able to manage multiple priorities efficiently.

Key Responsibilities
  • Provide administrative support to management and team members
  • Answer and direct incoming phone calls and emails
  • Manage calendars, schedule meetings, and coordinate appointments
  • Prepare reports, presentations, and correspondence
  • Maintain organized filing systems (physical and electronic)
  • Order office supplies and manage vendor relationships
  • Assist with data entry and maintaining internal databases
  • Coordinate travel arrangements and expense reporting
  • Greet visitors and maintain a professional front office presence
  • Support special projects and company events as needed
Qualifications
  • High school diploma required;
    Associate degree preferred
  • 1-3 years of administrative or office support experience
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • High attention to detail and accuracy
  • Professional demeanor and strong customer service skills
