LocationHale Makua Health Services is a Maui based non‑profit that improves the well‑being of those in its care through compassionate personalized health services. We are devoted to helping Maui’s Elders live their best lives. Hale Makua’s Kahului location is a 254‑bed nursing facility.
PositionWe are looking for a friendly and compassionate Human Resources Assistant who will support our Hale Makua Health Services Human Resources Team with clerical and administrative support.
Responsibilities- Assisting with the identification, selection, and interviewing of candidates
- Supporting the administrative part of the new hire process (screening, contracts, updating of HR systems)
- Helping out during pre‑boarding and onboarding of employees – staying in touch, answering questions, sending relevant material
- General administration and coordination
- Answering all internal and external HR‑related queries and requests
- Assisting with payroll administration
- Maintaining and updating employee records (in an HRIS)
- Assisting with (and executing) the termination process
- Scheduling meetings, events, interviews, etc.
- Performing customer service functions by answering employee requests and questions
- Completing Forms I‑9, verifying I‑9 documentation and maintaining I‑9 files
- Submitting online investigation requests and assisting with new‑employee background checks
- Assisting with the preparation of the performance review process
- Assisting with recruitment and interview process; tracking status of candidates in HRIS and responding with follow‑up letters at the end of the recruiting process
- Making photocopies; mailing, scanning and emailing documents; and performing other clerical functions
- Filing documents into appropriate employee files
- Assisting or preparing correspondence as requested
- Preparing new‑employee files
- Processing mail
- Enhancing own professional growth and development through participation in educational programs, current literature, in‑service meetings, and workshops; attending mandatory meetings
- Making recommendations to ensure “best practice,” improve efficiency and effectiveness of operations
- Practicing effective communication and interpersonal skills to enhance positive teamwork and relationships both internally and externally
- Willingly performing other duties as assigned or requested
- Bachelor’s degree in Human Resources or related field and/or equivalent experience/training
- Office administration or relevant work experience
- Experience with MS Office applications
- Excellent written and verbal communication skills
- Excellent organizational and time‑management skills
