Responsibilities
  • Assists all self-service retail customers in accurately selecting required parts, suggests companion requirements, offers specials, and ensures that the customer is exposed to all available options and alternatives.
  • Retrieves purchased parts from inventory or determines availability when not in stock, prepares parts requisition, and submits order as required.
  • Keeps accurate records of special order parts.
  • Answers phone calls, providing price quotes and other information to customers.
  • Takes phone orders, following all procedures and completing all required documentation.
  • Assists outside sales representatives with their orders.
  • Processes orders for daily shipment, delivery, or pick-up at counter.
  • Receives and ships parts in accordance with company policies.
  • Verifies will-call and back-order files and returns to vendors, or restocks items not required.
  • Assists service drive employees in selecting parts needed for repairs in progress.
  • Orders parts not in stock for required repairs in accordance with company policies.
  • Follows up on special ordered items and notifies service drive employees when received.
  • Obtains credit authorization as required and in accordance with company policies.
  • Ensures all cash, credit, charge, purchase order, invoice and tax-exempt sales are processed in accordance with company policies.
  • Issues credit for parts returned, in accordance with company policies.
  • Displays parts attractively to generate sales.
  • Replenishes assigned inventory daily; maintains inventory on shelves and in bins by reporting items needing to be reordered and identifying stock discrepancies.
  • Advises Parts Manager of inventory discrepancies and areas not in satisfactory condition.
  • Assists in maintaining a balanced inventory with the service department, body shop, wholesale accounts, and self-service customers.
  • Provides recommendations on pricing parameters to generate sufficient gross profit while maintaining customer loyalty.
  • Assists in inventory control to achieve maximum turnover; monitors and adjusts inventory to minimize obsolescence.
  • Ensures all parts are tagged for factory credit recovery.
  • Conducts inventory control activities and audits as directed by Supervisors.
  • Delivers high-quality service to both internal and external customers; works with service drive staff to ensure turnaround of parts for jobs.
  • Maintains delivery vehicles for the delivery program and delivers parts as requested.
  • Follows up on customer concerns and complaints promptly and escalates to the Parts Department Manager as needed.
  • Establishes and maintains good working relationships with other service drive departments, the sales department, and both self-service and wholesale customers.
  • Completes all documents, forms and reports in accordance with company policy; uses proper safety equipment and follows all safety regulations.
  • Keeps abreast of new equipment and tools and recommends purchases; keeps work areas and customer waiting areas clean.
  • Follows attendance, punctuality, and timekeeping standards; adheres to the Company Code of Business Ethics and Conduct and to all work rules.
  • Upholds the company’s confidentiality policies and maintains a professional appearance.
  • Attends pertinent training and company meetings as required.
  • Other duties as assigned.
Qualifications (Parts Counter Sales Requirements)
  • Excellent customer service skills.
  • Ability to understand and comply with federal, state, and local regulations affecting parts departments, including hazardous waste disposal, emergency response, safe driving and OSHA Right-to-Know.
  • Computer proficiency and excellent written and oral communication skills.
  • Ability to define problems, collect data, and draw valid conclusions; ability to interpret data for management analysis.
  • Strong math skills for pricing, discounts, and percentage calculations.
  • Ability to work independently and as part of a team; ability to interact well with others and contribute to a positive department morale.
