- Hours:
Varied;
Monday‑Friday early 6:45 am‑5:30 pm, evenings, weekends, holidays; travel as needed. - Location:

- Acknowledge and welcome patients and visitors.
- Inform staff of patient/visitor arrival and provide instruction and assistance with required paperwork and waiting times.
- Answer general questions about the facility (location, rest rooms, elevators, hours of operation, etc.).
- Ensure waiting area is clean, tidy, and has appropriate patient announcements and brochures.
- Convey information to patients and/or visitors as directed.
- Assist patients with ambulatory difficulties and call for assistance as needed.
- Obtain registration information from patients for input into EPIC.
- Verify and/or update demographic and health plan information.
- Check patients in and out of the clinic.
- Provide patients with information regarding payment obligations, HIPAA Notice of Privacy Practices, clinic policies, and collect all required forms and signatures.
- Schedule appointments in EPIC according to practice protocol.
- Convey schedule changes to appropriate staff.
- Review next day’s schedules and print physician schedules in advance of visits as directed.
- Assist patients with scheduling appointments at other physician and hospital sites and/or scheduling lab or radiology testing.
- Pull patient charts, file information correctly, and maintain filing system.
- Prepare charts to clinic and/or practice specifications.
- Collect copays, cash, check, or credit card payments, ensuring patients receive receipts. Post all payments in EPIC.
- Balance daily cash and collections.
- Secure change drawers and cash, following appropriate financial procedures and transferring payments to corporate.
- Identify problematic accounts and direct them to the financial counselor or Customer Service Department.
- Answer multiple lines, screen calls, take accurate and detailed messages for all calls including telephone encounters, and direct calls to appropriate staff.
- Understand limits of responsibility by not providing medical advice to patients.
- Perform all other duties/responsibilities as assigned.
- Prefer one year experience in a customer‑service setting, preferably in a medical office with basic knowledge of medical terminology.
- Typing speed of at least 30 words per minute (strongly preferred).
- High school diploma or GED.
- Service orientation:

Able to provide order and structure to daily processes and work environment. - Verbal communication:
Capable of interacting with, and relating to, people of varying educational levels and backgrounds, conveying information clearly and succinctly, applying listening, tact, responsiveness, empathy, and confidentiality. - Multi‑tasking:
Able to perform multiple duties simultaneously, greeting, message taking, checking patients in/out, while maintaining attention to detail. - Adaptability:
Flexible and comfortable adjusting to changing activities, remaining calm under pressure and thinking clearly to enhance problem‑solving. - Teamwork:
Works effectively with others to accomplish objectives and goals. Willingly offers assistance to others when needed. - Computer proficiency:
Ability to learn & become proficient in EPIC software as well as basic knowledge of Microsoft applications.
Base pay range: $15.00–$21.00 per hour, with pay determined by skills, experience, education, certifications, geographic location, and internal equity. Pay may include shift differentials, bonuses, and other incentives.
