Position: Volunteer Relations Specialist I

Overview

Volunteer Relations Specialist I Job Description. Applicants must be authorized to work lawfully in the United States for NCCPA as NCCPA will not sponsor or take over sponsorship of employment visas.

As the Volunteer Relations Specialist I, you will be responsible for gathering meeting requirements, developing volunteer rosters, and collecting volunteer documentation for approximately 25-30 multi-day meetings per year. Additionally, the Specialist will provide onsite support in advance of, during, and following the close of content development in-person meetings as assigned.

Who We Are

National Commission on Certification of Physician Assistants (NCCPA) is the only certifying organization for physician assistants in the United States. Established as a not-for-profit organization in 1974, we are dedicated to assuring the public that board certified PAs meet established standards of clinical knowledge and cognitive skills upon entry into practice and throughout their careers. All U.S. states, the District of Columbia and the U.S. territories have decided to rely on NCCPA certification as one of the criteria for licensure or regulation of PAs.

Location: NCCPA is a hybrid work environment with our headquarters located in Johns Creek, Georgia. NCCPA has determined that the telecommuting status of this position is on-site, which means that employees in on-site positions work all of their work hours onsite in the NCCPA headquarters except for occasional telecommuting at the discretion of their manager or occasional work travel.

How Will You Make a Difference? You will…
  • Support NCCPA’s exam-related initiatives by coordinating volunteer recruitment and meeting logistics for approximately 25–30 multi-day meetings annually.
  • Establish and maintain positive, professional relationships with NCCPA’s volunteer pool to ensure a high-quality participant experience.
  • Recruit, evaluate, and propose volunteer rosters in alignment with meeting specifications and operational requirements for manager approval.
  • Facilitate clear, timely communication across internal teams to ensure volunteer needs and meeting tasking are met on schedule.
  • Utilize project tracking tools to manage recruitment activities, meeting preparation, and onsite support tasks.
  • Draft and distribute professional communications and provide phone and video conference support to volunteers.
  • Collect, review, and maintain complete volunteer participation documentation in accordance with NCCPA standards.
  • Coordinate logistical support requests including travel, catering, honoraria, and IT service needs.
  • Prepare and manage meeting materials such as welcome bags, participant folders, name tags, and tent cards.
  • Provide onsite meeting support before, during, and after content development sessions, including room setup, resets, and material collection.
  • Assist with travel logistics and provide prescheduled weekend or day-of-meeting support as needed.
  • Maintain an organized electronic library of current and recent volunteer records.
  • Collaborate with the Volunteer Relations team on Volunteer Appreciation Week and ongoing recognition efforts.
  • Support Program Educators Workshops and assist with additional departmental administrative or reporting needs as assigned.
Hard Skills You Will Have
  • An associate’s degree.
  • A minimum of two years of professional experience in an administrative, office support, or coordination role.
  • Proficiency in Microsoft Outlook, Word, and Excel.
  • Experience using project tracking or project management tools to manage tasks and deadlines.
  • Strong written and verbal communication skills, including drafting professional correspondence.
  • Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced environment.
  • Demonstrated ability to handle confidential and sensitive information with discretion.
