The Role Position overview
The Workflow Analyst Engineer is responsible for analysing, designing, developing, optimising, and maintaining the Sonata RDA business workflows. This role acts as the bridge between business operations and technical implementation, ensuring workflows are efficient, scalable, and aligned to business goals. The ideal candidate has strong analytical skills, experience with workflow or process automation platforms, and a passion for continuous improvement. This role requires working with the proposition, operations, change and development teams to deliver superior customer experiences, low ‘cost to serve’ operation, and ensure enhancements drive operational efficiency and are well controlled and managed.
Key responsibilities
Workflow Analysis & Design:
Analyse new and existing business process requirements to identify bottlenecks, inefficiencies, and improvement opportunities.Map current and future-state workflows using BPMN [Sonata RDA BMPN tool].Translate detailed requirements from business stakeholders into functional workflow designs.Ensure workflows align with company policies, compliance requirements, and operational standards.Workflow Engineering & Automation:
Build, configure, and maintain automated workflows in Sonata RDA.Design workflow logic, triggers, conditions, transitions, correspondence, validations and integrations.Implement automation scripts or rules to streamline repetitive manual user tasks and sub-processes.System Integration & Data Flow:
Integrate workflows with internal and third-party systems (e.g., FICO, Mule Soft [BV, SMS], SSIS, SBS) using available connectors or APIs.Ensure data accuracy and consistency across connected systems.Manage workflow-related permissions, access, and security controls.Manage worksheet-related permissions, access, and security controls.Operations & Support:
Troubleshoot workflow defects, investigate failures, and resolve logic/configuration problems.Provide consulting and support to business stakeholders and end-users on workflow-related questions and improvements.Provide support with production incidents and migration-related tasks and issues when required.Maintain documentation for all workflows, logic decisions, and change history (Version control).Reporting & Insights:
Build and maintain dashboards, operational reports, and performance metrics related to workflow efficiency.Monitor workflow performance and recommend iterative improvements based on data-driven insights.Maintain workflow governance, continuous improvement and best-practice methodologies.Ensure workflow standards, naming conventions, and configuration guidelines are adhered to.Participate in process and requirements forums, CABs, operational meetings, and Agile ceremonies.Promote best practices for workflow design, automation, and lifecycle management.Skills and Experience
Required Skills
Strong understanding of business process analysis and workflow design.Experience with workflow or automation tools.Knowledge of BPMN, process mapping, or continuous improvement methodologies.Analytical mindset with strong problem-solving skills.Ability to communicate clearly with both business and technical audiences.Confidence working with cross-functional teams and presenting to senior stakeholders.Experience working within structured governance frameworks (e.g. COBIT, SAFe).A deep understanding of the following:
Investment and life products (to subject matter expert level). Financial services regulation as it relates to investment platform providers. How a financial adviser’s business works. Change management processes.Preferred/ Nice-to-Have Skills
Basic scripting knowledge (e.g., XML, XPath, CSS, SQL, JAVA, HTML, JavaScript (JSON), C, C++, XPDL, XSL).Understanding of SOAP and REST APIs, data integration principles, and WSDL.Experience with Agile and ITSM practices.Exposure to SQL or data querying tools.Certification in process improvement (Lean, Six Sigma) or workflow platforms.Education and Experience
