A market leading and growing organisation is seeking a Project Support Specialist who will play a key role in implementing and supporting the rollout of their software solutions for clients in the security industry. The focus of this role is not only to assist with technical implementation but also to guide clients in improving and optimising their administrative and operational business processes through effective use of the system.
This position bridges the gap between technology and business process excellence — ensuring clients gain maximum value from the software by aligning system functionality with best-practice operational workflows.
Travel will be required from time to time (project-dependant) both within South Africa as well as to outlying regions such as Botswana and Zimbabwe.
This is a permanent, full-time role (Monday - Friday) based in-office in Bryanston area.
Key ResponsibilitiesSystem Implementation & Configuration:
- Assist with the setup, configuration, and rollout of their software solutions at client sites.
- Support data migration, user setup, and initial testing phases.
- Coordinate with the Debtors Manager to ensure project timelines and deliverables are met.
Client Engagement & Training:
- Conduct client workshops to understand existing business processes and identify opportunities for improvement.
- Train end-users and administrators on system functionality and best practices.
- Provide post-implementation support and guidance to ensure smooth adoption of the system.
Business Process Improvement:
- Analyse and document client workflows within security company environments (e.g., Client liaison, Technical Admin, Cancellations, Finance, etc).
- Recommend and implement process improvements leveraging software functionality.
- Work collaboratively with clients to align system usage with operational goals and compliance requirements.
Project Coordination:
- Maintain project documentation, progress reports, and issue logs.
- Track implementation milestones and elevate risks or delays as needed.
- Support testing, quality assurance, and user acceptance activities.
- Provide feedback to internal teams on client needs, feature requests, and system enhancements.
- Stay up to date with software updates and industry trends in the security sector.
- 5+ years’ experience in administrative or operational roles within a security company (e.g., guarding, alarm monitoring, response, billing, or control room administration).
- Strong understanding of business processes typical to security operations (contracts, incident handling, client billing, job scheduling, etc).
- Excellent communication and interpersonal skills, with the ability to engage with clients at all levels.
- Demonstrated experience in system implementations, process mapping, or project support.
Preferred:
- Previous involvement in a software rollout, training, or business process improvement project.
- Familiarity with project management methodologies (e.g., PRINCE2, Agile) advantageous.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Strong analytical and problem-solving abilities.
