Key Responsibilities
SIS System Setup & Semester Planning
Manage student mapping to assessment events per module, intake year, and assessment cycle on the SIS.Liaise with Admissions to ensure accurate mapping and unmapping of students based on cancellations, prerequisites, or curriculum changes.Develop and maintain semester-specific Results Trackers aligned to the National Assessment Schedule.Manage ICE tracking, detainment jobs, and assessment deadline updates throughout the semester.Execute detainment jobs on SIS once cumulative formative results have been verified and captured.Results Capture Sheet Management
Create, maintain, and update Result Capture Sheets for replacement tests, supplementary exams, special sittings, discontinuations, and NQP students.Ensure all Result Capture Sheets are signed, dated, version-controlled, and archived in line with policy and audit requirements.Update results timeously following mark amendments, plagiarism outcomes, concessions, or remarks.Results Management – Formative Assessments
Verify alignment between assessment scripts, Learn Grade Centre, and SIS results prior to publication.Capture and release formative assessment results in compliance with assessment policies and SIS guidelines.Monitor marking progress, enforce deadlines, and liaise with lecturers regarding outstanding results or extensions.Identify and escalate marking risks or recurring delays to Programme Managers and Academic leadership.Manage replacement sittings, ICE verification, plagiarism tracking, concessions processing, and CASS result releases.Results Management – Summative Assessments
Capture, verify, and publish summative assessment results accurately and timeously.Manage supplementary, discontinuation, special sitting, and re-write results in accordance with approved instructions.Oversee endorsement processing, ES1–ES3 outcomes, and discontinuation result handling.Compile and submit ES2, ES3, and discontinuation billing lists to Finance each semester.Generate, re-generate, and publish academic report cards and transcripts.Track lecturer capacity and proactively liaise with Programme Managers to secure replacement markers where required.Moderation (Internal & External)
Support Programme and Teaching & Learning Managers with access to scripts for moderation purposes.Maintain and update the External Moderation Tracking Grid accurately.Prepare, scan, upload, and assign moderation samples to Central Academic Team members.Compile and manage Moderation Control Sheets (MCS) and ensure outcomes are actioned correctly and compliantly.Script Viewing & Remarks Management
Co-ordinate script viewing requests and ensure secure handling and sign-out of scripts.Manage re-mark requests, verify payment, assign markers, and track progress within agreed timelines.Apply remark outcomes accurately on SIS and update Result Capture Sheets accordingly.Escalate marking discrepancies or concerns to academic leadership.Records Management & Secure Storage
Manage the retention, archiving, and destruction of assessment scripts and POEs in line with Assessment Policy and POPIA.Oversee on-site and off-site storage processes, including Metro file archiving and tracking documentation.Maintain organised, compliant secure storage facilities and internal storage registers.Team Support, Compliance & Operational Excellence
Respond timeously to Customer Relations Officers on student result-related queries.Collaborate cross-functionally with Academic, Admissions, Finance, Assessment, and Scheduling teams.Identify system risks and operational inefficiencies, proposing alternative solutions to mitigate student impact.Support campus projects and events such as graduations and open days.Ensure strict compliance with POPIA, institutional governance, and audit standards.Minimum Requirements
Relevant tertiary qualification (Administration, Education, or related field).Proven experience in academic administration, assessment processing, or results management within higher education.Strong working knowledge of SIS or similar academic systems.In-depth understanding of assessment policies, moderation processes, and academic governance.Key Competencies & Skills
