Payroll Administrator

MAIN PURPOSE / OBJECTIVE OF THE POSITION

• Ensure that all payrolls are captured and processed correctly and timeously

JOB DESCRIPTION

• Capture timesheets for payment on the specified system
• Check that all timesheets are completed to the required standard before being processed
• No capturing errors that result in over payment of staff
• Submit timesheets and supporting documents to the Group Wage Department for processing
• Adhere to the payroll deadlines as stipulated by Group Wage Department
• Check and confirm that leave hours submitted are correct
• Ensure that leave applications are accurately checked prior to payroll and that all approvals and/or paperwork is in order
• Check payrolls to ensure that all pay rates, hours, leave and overtime have been correctly captured and that all relevant deductions, such as AODs and transport recoveries have been loaded
• No over payments due to checking errors
• Ensure accurate invoicing
• Ensure that invoices are raised on all wages paid
• Balancing of invoicing and wages must be correct
• Escalate system errors where necessary
• Liaise with system managers (Import, Paymatic, PAW) in order to resolve system errors
• Ensure that there is an adequate cash flow available for the payment of wages
• Ensure that cash-flow requests for wages are accurate and submitted by the specified Finance deadlines
• Ensure that cash-flow is requested for late wage runs
• Assist with pay queries
• Resolve pay queries within a 24 hour timeframe
• Invoicing/Statements
• Accurately invoice clients weekly, bi-weekly, monthly and submit to clients with records thereof. Monthly statements
• Movements
• Accurate completion and loading of movements for all Clients
