Description
The Foundation/Volunteer Services Assistant facilitates the efficient operation of the assigned area by performing a variety of clerical, administrative and volunteer staff oversight including the following:
- Answers and transfers phone calls, screening when necessary.
- Maintains a system for recording donations and expenses.
- Maintains electronic and manual filing systems as assigned.
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
- Responds to and resolves administrative inquiries and questions.
- Prepare agendas and schedules for meetings.
- Records and distributes minutes or other records for meetings.
- Maintains office supplies and coordinates maintenance of office equipment.
- Assists with graphic design of collateral and communications.
- Assists with internal and external events.
- Assists with scheduling and training of volunteer staff.
- Assists with maintaining volunteer staff records and hours.
- Performs other related duties as assigned.
- High school education required.
- Experience in community, nonprofit, and/or volunteer agencies; knowledge/skills in identifying community needs/developing programs.
- Excellent communication, interpersonal, and decision‑making skills; ability to manage multiple tasks/deadlines; financial acumen/ability to interpret financial statements; critical thinking skills; community commitment/involvement.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Proficient in Microsoft Office Suite, Canva, donor management software platforms and related software.
- Excellent organizational skills and attention to detail.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to work independently.
- Maintain confidentiality of donor data.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 25 pounds at times.
