We are seeking a full-time Legal Operations Manager to build and refine internal systems, structures, and performance architecture of the firm. This is a leadership role, not an admin role. The right person in this role will lay the operational foundation that allows us to scale without sacrificing quality or burning out all while optimizing results for our clients. You’ll be the architect and executor of how we operate — across intake, case management, staff performance, reporting, SOPs, and more.

Key Responsibilities
  • Metrics & KPIs
    • Define and track key performance indicators (KPIs) across departments.
    • Create weekly and monthly performance dashboards.
    • Use data to identify bottlenecks and surface opportunities for efficiency.
    • Present insights to firm leadership and drive decisions based on metrics.
  • SOP Development & Process Architecture
    • Refine, build and maintain Standard Operating Procedures (SOPs) for every major workflow.
    • Ensure that all departments — Intake, Pre-Lit, Litigation Support — follow consistent, documented processes.
    • Streamline repetitive tasks and reduce human error through better systems.
    • Continuously audit and update workflows for clarity and performance.
  • Technology & Firm Infrastructure
    • Own and optimize the firm’s tech stack.
    • Ensure tools are properly integrated and used consistently by staff.
    • Identify gaps in technology and lead implementation of new solutions.
    • Maintain a cohesive, scalable system of tools and automations.
  • Team Operations & Department Growth
    • Manage and support 15+ support staff across the firm.
    • Drive accountability through scorecards, weekly check-ins, and workflow oversight.
    • Onboard and train new hires with documented SOPs and structured ramp-up plans.
    • Work with leadership to define org structure and department-level goals as the firm grows.
  • Operational Strategy & Execution
    • Work directly with the Managing Partner on firm-wide goals.
    • Translate high-level strategy into daily execution and weekly deliverables.
    • Monitor cross-functional handoffs between departments to prevent delays and confusion.
    • Conduct regular operational audits and performance reviews.
  • Client Experience, Compliance & Quality Control
    • Implement systems to ensure consistent and professional client communications.
    • Develop checklists and quality audits across all stages of the case lifecycle.
    • Reduce errors, missed deadlines, and client complaints by building in safeguards and checks.
    • Track and respond to client satisfaction data and internal performance gaps.
  • Qualifications
    • 5+ years of experience in operations, business systems, or legal management.
    • Strong background in building and implementing SOPs and operational workflows.
    • Experience with law firm tools (preferred):
      Filevine, Lead Docket, case management systems.
    • Comfortable defining KPIs, building dashboards, and using data to drive improvements.
    • Demonstrated ability to manage teams, implement systems, and lead process change.
    • Strong communication and organizational skills.
    • Legal industry experience preferred but not required (must be a fast learner in this space).

    • All staff have clear scorecards and are held accountable to performance metrics.
    • Our tech tools work together — seamlessly and efficiently.
    • Intake-to-litigation transitions happen cleanly and predictably.
    • The firm is ready to hire and scale without reinventing the wheel.
