Job Title:
Senior Administrative Assistant
Location: Jersey City, NJ (Hybrid – minimum 3 days onsite, onsite Day
1)
Max Pay Rate: $24.93/hr
Job Type: Contract
We are seeking a highly skilled Administrative Assistant to provide advanced administrative support to senior leaders within Risk and Regulatory Management. This role supports multiple leaders and teams and requires excellent judgment, discretion, organization, and the ability to manage competing priorities in a fast-paced, professional environment.
The ideal candidate is proactive, detail-oriented, and comfortable working onsite while interacting with executive-level stakeholders and handling confidential information.
Key Responsibilities- Manage complex calendars and prioritize meeting requests
- Coordinate meetings involving multiple executives and teams
- Arrange travel and process expense reports in accordance with policy
- Support onsite operations including building access, floor support, and visiting team members
- Serve as onsite point of contact for traveling team members
- Coordinate site events (catering, logistics, post-event cleanup)
- Order and maintain office supplies
- Manage printers and basic equipment upkeep
- Coordinate equipment returns for exiting resources
- Support signage and floor maintenance needs
- Assist with ad hoc administrative and operational requests
- Document meeting notes and procedures as required
- 2+ years of administrative assistance experience
- Strong experience supporting senior leaders or executives
- Advanced proficiency in Outlook, Excel, Word, PowerPoint, Teams
- Excellent written and verbal communication skills
- Highly organized with strong attention to detail
- Ability to manage multiple priorities and shifting deadlines
- Professional, discreet, and comfortable handling confidential information
- Strong judgment, proactive mindset, and ability to work independently
- Comfortable working onsite in a hybrid environment
- Experience using Concur or other travel & expense systems
- Experience supporting leaders across multiple teams or geographies
- Strong stakeholder and partnership skills
- Familiarity with large enterprise environments and internal tools
