Job Title: Administrative Support
Location: Jersey City NJ 07302 Hybrid
Duration: 12 months contract
Payrate: $24/hr on w2
Job DescriptionWe are seeking a highly organized Administrative Assistant to support Risk and Regulatory Management leaders and the Pennington BMC team. This role involves complex calendar management, travel coordination, expense processing, and office support, requiring excellent judgment, discretion, and the ability to handle sensitive information.
Key Responsibilities- Manage detailed calendars, prioritize meeting requests, and coordinate logistics.
- Schedule complex meetings across multiple time zones.
- Arrange domestic/international travel and process expense reports (Concur/Corporate Travel).
- Serve as onsite Point of Contact (POC) for visiting team members, ensuring access configuration and accommodations.
- Oversee office support: building access, events/catering, supply and printer management, signage, workspace upkeep, and equipment returns.
Document meeting minutes, procedures, and reference materials. - Partner with leaders and teams to ensure compliance with policies.
- Act as liaison with executives, stakeholders, and external contacts using tact and diplomacy. recursion>
- 2+ years’ administrative experience, preferably supporting executives.
- Advanced proficiency in MS Office Suite (Outlook, Excel, Word, PowerPoint, Visio).
- Strong organizational, time management, and communication skills.
- Ability to manage multiple priorities, adapt under pressure, and anticipate needs.
- Proven discretion with confidential information.
- Experience documenting minutes, procedures, and workflows.
- Strong interpersonal skills, comfortable working across all organizational levels.
- Experience with Concur or similar travel/expense tools
. - Familiarity with large enterprise processes and tools.
- Experience supporting leaders across locations and time zones.
- IKI Strong stakeholder engagement and partnering skills.
