POSITION SUMMARY:

The Receptionist serves as the first point of contact for the Ice Cream Plant and plays a critical role in creating a welcoming, professional, and secure environment. This position requires a positive attitude, polished appearance, and the ability to communicate with diplomacy and tact. The Receptionist is responsible for greeting and directing visitors, answering and routing incoming calls, maintaining accurate communication boards, and providing administrative and clerical support to supervisory staff.

Additional responsibilities include mail distribution, data processing, recordkeeping, and ensuring compliance with Safe Quality Food (SQF) and plant security requirements.

ESSENTIAL FUNCTIONS, DUTIES AND PERFORMANCE RESPONSIBILITIES:
  • Provides general office and administrative support to all departments, including a variety of clerical and secretarial tasks.
  • Greets customers, vendors, contractors, and visitors in a professional, friendly, and hospitable manner, following established internal procedures for visitor and contractor check-in.
  • Maintains facility security by adhering to internal procedures, monitoring visitor logs, and issuing visitor badges in compliance with Safe Quality Food (SQF) requirements.
  • Ensures the reception area is clean, organized, and prepared to receive guests at all times.
  • Maintains a safe and sanitary reception area by complying with all procedures, rules, and regulations.
  • Assists in directing customers, vendors, and visitors to the appropriate departments or contacts within the plant.
  • Professionally answers, screens, and routes incoming calls and inquiries to appropriate personnel; takes and relays accurate messages as needed.
  • Responds to questions from the public, customers, vendors, and employees in person and by phone.
  • Coordinates and administers visitor and customer plant tour preparations, as needed.
  • Assists visiting guests with travel arrangements and logistics, as requested.
  • Receives, sorts, and distributes incoming and outgoing mail daily while maintaining strict confidentiality.
  • Maintains up-to-date knowledge of employee, vendor, and contractor activity within the facility; promptly updates contact lists and directories.
  • Prepares correspondence, including letters, memos, reports, and other administrative documents.
  • Creates purchase orders for office and general administrative supplies and maintains accurate inventory levels.
  • Prepares and processes outgoing UPS and Fed Ex packages on a daily basis.
  • Updates daily Bills of Lading (BOLs) and employee uniform logs.
  • Assists applicants with submitting applications through the employment kiosk.
  • Identifies opportunities for and initiates process improvements to enhance efficiency and effectiveness.

Education:
  • Required:

    High school diploma/GED or equivalent work related experience.
Experience:
  • Required:

    Minimum of one (1) year of administrative or clerical experience
  • Knowledge of computers and relevant software applications
  • Knowledge of customer service principles and practices
  • Proficient keyboarding skills
Knowledge, Skills and Abilities:
