The Payroll Accounting Specialist is responsible for providing financial, administrative, and clerical support to ensure efficient and accurate payroll operations. This position processes payroll transactions, maintains payroll records, and assists with payroll reporting, compliance, and tax filings. In addition to payroll duties, the role is responsible for performing milk reconciliation and supporting milk payment and invoicing processes to ensure accuracy and timeliness.
The Payroll Accounting Specialist works closely with the Payroll Manager and other Finance and HR team members to ensure timely and accurate payment to employees, compliance with company policies and regulatory requirements, and positive employee experiences. This position also provides assistance with accounts payable/receivable processing and front desk coverage as needed.
- Process payroll transactions accurately and timely, including regular, overtime, vacation, holiday, and other pay types.
- Maintain payroll records and ensure confidentiality
- Respond promptly to employee inquiries regarding payroll, deductions, and timekeeping.
- Assist Payroll Manager with payroll reporting, audits, and reconciliations
- Ensure adherence to company policies and applicable regulations
- Perform milk reconciliation data entry and assist with payment processing under direction
- Generate and distribute standard payroll reports as directed
- Updated annual payroll calendars as directed
- Coordinate with HR for onboarding/offboarding tasks
- Maintain time clocks in all locations
- Provide relief coverage for front desk.
- Assist with AR/AP processing as needed
- Perform additional administrative tasks as required.
QUALIFICATIONS:
Education:
- High School Diploma or GED required.
- Associate’s degree in Accounting, Business, or related field preferred.
- Minimum 2 years of payroll or accounting experience required.
- Experience with payroll systems and timekeeping software preferred.
- Experience in a manufacturing or dairy environment is a plus.
- Working knowledge of payroll processes, wage and hour laws, and payroll tax regulations.
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Proficiency in Microsoft Office (Word, Outlook, Excel).
- Ability to maintain confidentiality and handle sensitive information.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
- Problem-solving and analytical skills.
