Responsibilities

  • Assist with purchasing medical supplies, equipment, pharmaceuticals, and services in accordance with clinical and operational needs.
  • Monitor inventory levels in Central Store to ensure uninterrupted patient care.
  • Issue, track, and reconcile purchase orders.
  • Coordinate with clinical departments to understand usage patterns and urgent needs.
  • Work with approved healthcare vendors, distributors, and group purchasing organizations (GPO’s).
  • Support contract pricing compliance and item standardization initiatives.
  • Communicate with vendors regarding availability, substitutions, recalls, and backorders.
  • Assist in resolving invoice discrepancies and delivery issues.
  • Document procedures related to critical supplies, emergency sourcing, and vendor escalation paths.
  • Ensure purchasing activities comply with healthcare regulations, accreditation standards, and internal policies.
  • Assist with recall management and product traceability.
  • Maintain accurate documentation for audits and regulatory reviews.
  • Maintain purchasing date in various material management systems.
  • Asist with spend analysis, cost saving initiatives and budget tracking.
  • Identify opportunities to improve purchasing efficiency and supply continuity.
  • Assist with standardizing supplies and improving workflows.
  • Other duties as assigned.

Minimum Qualifications

Education:

  • Associate’s or Bachelor’s degree in Supply Chain, Business Admin, Healthcare Admin or equivalent experience

Experience:

  • Medical office exposure preferred, but not required
  • Computerized purchasing software
  • Communicate professionally & effectively (verbal and written)
  • Solve problems
  • Ability to prioritize in a fast paced healthcare environment.
  • Working with medical supply vendors, distributors, or GPO’s.
  • Good organizational skills
Work Environment

Normal medical office environment.
