We are seeking professionals committed to high quality work and enjoy a challenging, fast-paced team environment. A team member in this position will provide supervision to a team of five part-time administrative clerks and help complete a wide variety of special data quality and administrative processing projects. This work is essential as we combine multiple vital records systems into one comprehensive statewide vital records system.
Responsibilities- Provides general supervision to a team of 5 part-time administrative clerks.
- Retrieves vital records and makes frequent decisions according to state laws, policies, regulations, and procedures regarding the entering, sharing, and issuing of vital records; receives, reviews, verifies, and processes health and medical data, forms, and legal judgments and court documents related to vital records.
- Makes amendments to vital records; reviews reports for missing, erroneous, or inconsistent information; obtains necessary information from hospitals, doctors, laboratories, or other data providers to ensure that data files are complete and correct.
- Assists the state archivist’s team at the State Records & Retention Center (SRC) with scanning and digitization of millions of vital records spanning more than 100 years.
- Conducts general administrative support services for the bureau, State Registrar & Chief, and the Deputy Chief such as mail sorting, filing, scanning, travel arrangements, billing/invoicing, and other related duties.
- Four (4) or more years of experience processing technical, medical, legal, or confidential data or reviewing official documentation for compliance and/or validity and possession of a high school diploma or proof of high school equivalency, or a bachelor’s degree with 0-2 years of relevant experience.
- Ability to operate in a fast‑paced, confidential environment requiring high focus, attention to detail, and multitasking.
- Excellent supervision and customer‑service skills with internal and external customers; proficiency with Microsoft Office Suite, including Access.
- Professional demeanor in a multi‑team member environment; emotional intelligence and analytical thinking.
