Lead Administrative Support Assistant – State of Missouri
Job Location:
Missouri State Capitol Building, 201 W Capital Avenue, Jefferson City MO.
The Office of Administration’s Division of Budget & Planning seeks a proactive and reliable Lead Administrative Support Assistant to provide organizational and data support across the office. The role delivers accurate information to State executive leadership and decision‑makers, manages multiple projects, performs data entry, and adapts quickly to shifting priorities, especially during the budget and legislative cycles.
Responsibilities- Serve as a friendly, professional first point of contact for office visitors.
- Receive, route, and respond courteously to emails, phone calls, and inquiries from staff, General Assembly members, journalists, and the public.
- Input, review, and maintain accurate information and files in database and electronic folders.
- Format, edit, proofread, and prepare documents, both electronic and printed.
- Maintain internal office budget records, track expenses, purchase office supplies, and process invoices.
- Assist with coordinating meetings, registrations, and occasional travel.
- Provide basic IT troubleshooting and general office support.
- Collaborate closely with staff as needed on various, ever‑changing tasks.
- Maintain confidentiality and exercise discretion with sensitive information.
- High school diploma or equivalent.
- Ability to manage administrative tasks such as scheduling meetings, monitoring office supplies, using scanners and copiers, and assembling document packets.
- Proficiency with word processing and spreadsheet software.
- Strong editing, grammar, and proofreading skills.
- Ability to enter, review, and maintain accurate database records, often under time constraints.
- A strong work ethic, reliability, and attention to detail.
- A willingness to learn new systems, tools, and procedures.
- Ability to work independently and as part of a team.
- Confidence to interact professionally with staff, visitors, and representatives from other agencies.
- Basic understanding of Missouri’s legislative and budget processes.
- Excellent capacity to prioritize tasks, manage high‑volume workloads, and adapt to shifting deadlines.
- Two or more years of relevant administrative or similar work.
- Strong working knowledge of Microsoft Office applications, especially Word, Excel, and Outlook.
- Proficiency in database and spreadsheet management.
- Experience tracking office supplies, expenses, payment processing, and balancing a basic office budget.
- Familiarity with Missouri
BUYS, SAMII, or MOVERS. - Experience coordinating schedules for colleagues or planning travel.
- Excellent customer service skills.
