Summary

Plan, coordinate and control the day‑to‑day transport needs related to Finished goods and Raw materials movements in line with the distribution plan, vehicles’ availability, safety procedures, to develop the detailed transport and logistics planning for SADAFCO.

Key Accountabilities
  • Transportation planning
    • Route planning for SADAFCO primary fleet and hired transporters.
    • Preparing transportation plan based on SADAFCO primary fleet and hired transporters’ availability to meet the daily, weekly distribution plan and raw materials’ movements.
    • Ensure that the transportation needs are met and planned for all raw materials, ambient, chilled and frozen finished goods for all loading points.
    • Ensure that the transportation plan is prepared according to the transportation budget and price matrix.
  • Driver scheduling
    • Schedule and dispatch SADAFCO drivers to complete planned deliveries based on the transportation plans.
    • Ensure that the drivers are following the company policy, government regulations and safety procedures in an efficient & effective way.
    • Ensure that the drivers are meeting the monthly targeted KPIs.
    • Review drivers’ logs and ensure their adherence to the journey plan.
  • JMF shuttle scheduling
    • Schedule and dispatch SADAFCO drivers to complete planned deliveries based on the transportation plans.
  • Electronic fueling (E‑fuel)
    • Manage the different electronic fueling platforms to ensure that the primary fleet has adequate cashless automatic refueling service and vehicles washing.
    • Monitor that there is no misuse of the electronic fueling service and that the users are following company policy for fueling and vehicle washing.
  • Communication
    • Respond to the internal and external stakeholders for feedback and complaints.
    • Follow the weekly & daily distribution plan and facilitate a flawless transport operation by communicating well with the Distribution Planners, Operations Managers and Sales team at the depot.
    • Communicate with the third party providers (transporters) to provide the daily requirement of trucks and make sure that all daily requirements are delivered and loaded as per the daily plan and logistics strategy.
    • Communicate with the third party providers (transporters) about transport operational issues, which could affect the company i.e. delivery delays.
    • Coordinate with the internal stakeholders i.e. sales depots, factories, finance etc. for the smooth running of the transport operations.
  • Deliveries monitoring
    • Supervise and control the daily loaded trucks and make sure that all orders have been loaded based on the transportation plan and logistics strategy.
    • Ensure that the loaded trucks have arrived at the right time and the right place as per the set service level agreement (SLA).
  • Finance
    • Manage the third‑party providers (transporters) and other service providers’ invoices for EMS processing and payment.
    • Coordinate with the payables team regarding payment processing and issues.
    • Process electronic claims for petty cash related to the transport section.
  • GPS system
    • Monitor SADAFCO’s primary fleet and ensure that drivers are complying with safety procedures.
    • Monitor temperature for Frozen shipments to ensure products’ quality and respond to any emergency.
  • Public Transport Authority (PTA) – Naql system
    • Issue electronic waybills for the daily dispatch plan for SADAFCO primary fleet.
    • Issue city entry permits for SADAFCO primary fleet for smoother operations.
  • Administration and reporting
    • Monitor and control the trip period and make sure that it has been done based on the approved schedule for each trip.
    • Record the arrivals and departures of the trucks and fuel consumption and take action wherever necessary.
    • Review drivers’ logs and journey management plans.
  • Maintenance
    • Coordinate maintenance of trucks, trailers and liaise with the regional workshops.
    • Monitor and assign replacement vehicles to ensure that the distribution plan is met.
    • Randomly inspect trucks for cleanliness, damages, and take necessary action.
  • Licenses and permits
    • Monitor truck official documents, operational card, periodical checking and renewals.
    • Monitor and renew drivers’ card from Public Transport Authority and export licenses.
  • Accidents
    • Notify any accident to the concerned parties i.e. insurance, workshop team, HR team as per the company policy.
    • Ensure that the driver submits complete accident documents to the workshop team for insurance processing.
    • Follow up on accidents with practical support and administration.
  • People management
    • Instruct and guide the drivers in their daily work.
    • Monitor and process drivers’ vacation schedule.
    • Maintain drivers’ official documents and renewals.
