Job Overview

Vivekananda Global University (VGU), Jaipur, a NAAC A+ Grade University, invites applications for the position of Personal Secretary (PS) to the Directors. The role requires a highly organized, discreet, and proactive professional who can provide comprehensive secretarial, coordination, and administrative support to senior leadership while managing front-office and inter-departmental responsibilities efficiently.

Key Responsibilities

Secretarial & Documentation Support

- Drafting, typing, and formatting official correspondence, letters, notes, and documents in English and Hindi
- Online search and compilation of circulars, notifications, notices, and relevant information
- Maintaining files, records, registers, and confidential documents

Administrative & Coordination Support

- General coordination on behalf of the senior management
- Organizing, scheduling, and coordinating meetings, including agenda preparation and follow-ups
- Managing attendance registers and maintaining office records

Office & Staff Management

- Supervising and managing support staff and ensuring smooth daily operations
- Ensuring discipline, punctuality, and task allocation for support staff

Front Office & Guest Management

- Managing front office operations, visitor handling, and guest coordination
- Ensuring professional reception, hospitality, and protocol for internal and external visitors

General Responsibilities

- Handling phone calls, emails, and appointments of the Directors
- Coordinating with departments to ensure timely execution of tasks

Qualifications & Skills

- Graduate / Postgraduate in any discipline
- Proven experience as a Personal Secretary / Office Assistant / Front office Assistant
- Excellent typing, drafting, and communication skills in English and Hindi
- Proficiency in MS Office (Word, Excel, Outlook) and office systems
- Strong organizational, multitasking, and time-management abilities
- Prior experience in a university or educational institution will be an advantage
