The Scientific Publications Manager leads the day‑to‑day management and execution of CMC‑supported publications, journal‑related communications, and scientific meeting abstract programs for assigned client organizations. The role serves as a liaison with publishing partners, abstract submission platform vendors, scientific/program committees, editorial leadership, and internal stakeholders—ensuring clear communication, strong relationships, predictable timelines, and high‑quality deliverables.

A core responsibility of this position is owning the end‑to‑end abstract lifecycle: planning, portal configuration and support, reviewer and committee coordination, timeline and deadline management, notification and scheduling outputs, and the downstream handoff of accepted content for meeting materials and publication (e.g., abstract supplements, proceedings, or journal integration). The role also oversees publication workflows across journals, external committees, and special projects, bringing strong project management and editorial judgment to complex, multi‑stakeholder deliverables.

Key Responsibilities
1) Scientific Abstract Program Ownership (Meetings + Publications)
  • Own and manage the full abstract submission and delivery process for client scientific meetings from launch through publication and post‑meeting wrap‑up.
  • Develop and maintain the master abstract project plan (milestones, decision points, deadlines, dependencies, and risk flags) aligned to meeting and publication timelines.
  • Coordinate and configure the abstract management portal (requirements gathering, setup, testing/UAT, launch readiness, ongoing support, and troubleshooting) in partnership with IT and/or the platform vendor.
  • Create and maintain submission guidelines, author instructions, reviewer instructions, scoring rubrics, conflict‑of‑interest requirements, and standard communications (templates for confirmations, reminders, result notifications, and presenter instructions).
  • Lead committee and reviewer management: recruit/onboard where applicable, manage assignments, monitor progress, triage issues, and ensure on‑time completion of reviews and decisions.
  • Facilitate program committee workflows for selection, acceptance/decline, scheduling inputs, award designations, and presenter management.
  • Coordinate with internal events/meeting teams to support programming outputs (session building inputs, speaker/presenter communications, AV/format requirements, slide/poster policies, onsite poster logistics as applicable).
  • Partner with the Communications/Marketing team to support abstract call promotion (messaging, audience segmentation, key dates, web/email/social deployment, and performance tracking).
  • Manage post‑decision deliverables and data outputs: accepted abstract lists, presenter rosters, disclosures, learning objectives, program metadata, and export files for apps, websites, printed materials, and badges as needed.
  • Coordinate publication of abstracts (e.g., abstract supplements/proceedings) including file specifications, proofing, editorial checks, permissions, deadlines, and publisher handoffs.
  • Conduct post‑meeting debriefs, document lessons learned, and recommend process improvements to strengthen timeliness and quality year over year.
2) Project Management & Committee Oversight
  • Serve as staff liaison to assigned publications/communications committees and scientific/program committees (as applicable).
  • Prepare meeting materials (agendas, minutes, action‑item trackers) and contribute to board/committee reporting.
  • Communicate proactively and diplomatically with volunteer leaders, reviewers, authors, and vendors to keep decisions and timelines on track.
  • Establish repeatable workflows, timelines, and trackers to support multiple concurrent deliverables across clients.
  • Maintain and drive editorial calendars, production schedules, deadlines, and status reporting for journal‑related communications.
  • Coordinate recurring touchpoints (check‑ins, timeline reviews, agenda prep, action‑item follow‑up).
  • Ensure publication deliverables align with client goals, brand standards, and contractual/operational expectations.
