Overview

The Division Operations Administrator provides administrative and operational leadership and oversight for assigned divisions in the Department of Surgery. This position has a dual reporting relationship to the Department Director and assigned Division Chief(s). The Division Operations Administrator provides day‑to‑day oversight for clinical operations and supportive functions including efficient clinic workflows, managing staffing and resource allocations, optimizing patient access, patient experience and care coordination.

In addition, the Division Operations Administrator will also support other administrative functions of the division including fiscal management, education administration, and research. The Administrator collaborates with department leadership, associates, physicians, providers, and organizational leadership to achieve operational improvement, financial sustainability, regulatory compliance and strategic growth initiatives for the applicable division(s) and department.

Responsibilities

  • Operational Oversight: provides oversight for daily operations in clinic and ambulatory procedural areas, ensuring efficient patient flow, access, scheduling and resource utilization across all service locations. Monitors and optimizes workflows, access, patient experience, and throughput. Plans and executes on growth initiatives including space, equipment and other resources.
  • Financial Management: in coordination with department and organizational leadership, monitors financial performance, identifies variances and implements cost‑effective strategies while maintaining high quality. Supports effective revenue cycle management including charge capture, coding and compliance. Contributes to development of operational and capital budgets.
  • Quality and Safety: ensures compliance with all regulatory and accreditation standards. Supports quality improvement initiatives and patient safety programs. Promotes incident reporting, risk management, and corrective action planning.
  • Performance Analysis: utilizes a performance‑driven approach to problem solving, using data to monitor performance on performance indicators, operational and financial metrics and outcomes. Communicates at key intervals to Department Chair, Department Director, and Division Chief(s), as well as physicians, associates and department regarding performance.
  • Evaluates and makes recommendations including new care models that help drive efficiencies and improvements for patients and providers. Cross‑functional collaboration identifies opportunities and builds relationships to achieve business goals. Acts as a liaison between assigned divisions, department, hospital, practice plan, college of medicine and system partners.
  • Other administrative support: provides administrative support to the Division Chief(s) including onboarding of physicians and assisting educational program directors (i.e. Residency/Fellowship PDs) and coordinators with Graduate Medical Education responsibilities.
  • Human Resources: supports office managers/supervisors/team leads in all human resource functions such as associate recruiting, onboarding, training, scheduling, performance evaluation and retention activities. Fosters an engaged, collaborative and productive work environment aligned with organizational goals.

Qualifications

Experience

3 years required of progressively responsible administrative and clinical operations leadership experience in an applicable health‑care facility, including working knowledge of billing and/or reimbursement, management of clinical and non‑clinical staff and working with physicians, demonstrating management and leadership expertise. 5 years preferred.

Education

Bachelor’s degree. Specific coursework:
Business Administration, Allied Health, Health Care Management, etc. Related work experience may be substituted on a year‑for‑year basis in lieu of a Bachelor's degree.

Preferred Education

Master’s Degree Required.
