Front Office Check-In / Check-Out Representative

We are currently seeking a motivated, reliable, and empathetic Front Office Check-In / Check-Out Representative to join our Next Step team. This role is essential in creating a welcoming, respectful, and non-judgmental experience for patients seeking addiction treatment. The ideal candidate demonstrates patience, discretion, and understanding while maintaining efficiency and accuracy in a fast-paced medical office.
Position Summary
The Front Office Representative plays a vital role in patient engagement by managing check-in and check-out processes, scheduling appointments, collecting payments, and maintaining accurate patient records. This position serves as the first point of contact and helps set the tone for each patient’s care experience.
Responsibilities- Greet and assist patients and visitors in person and over the phone with professionalism, compassion, and discretion
- Create a calm, supportive, and welcoming environment for individuals receiving addiction treatment
- Schedule appointments efficiently to optimize provider availability and treatment room utilization
- Monitor patient flow and communicate delays or concerns to providers as needed
- Answer patient questions clearly while helping reduce anxiety and maintaining confidentiality
- Maintain accurate and up-to-date patient records, including demographic and financial information
- Collect co-pays and balances, and assist patients with billing and payment policies
- Ensure patient privacy and HIPAA compliance at all times
- Assist during patient emergencies by following established office protocols
- Maintain office supplies and coordinate ordering as needed
- Follow all office policies and procedures and suggest improvements when appropriate
- Collaborate with clinical and administrative team members to support office efficiency and patient satisfaction
- High School Diploma or equivalent required
- Minimum of 1 year experience in a medical office or healthcare setting (addiction or behavioral health experience preferred)
- Strong customer service and communication skills
- Demonstrated empathy, patience, and professionalism when working with vulnerable populations
- Ability to multitask, stay organized, and remain calm in a fast-paced environment
- Proficiency in scheduling systems, word processing, and general office software
- Strong attention to detail and time-management skills
