Position Summary
The Materials Coordinator is responsible for managing and coordinating medical supplies, surgical inventory, and equipment necessary to support safe, efficient, and uninterrupted surgical operations within the Ambulatory Surgery Center. This role plays a critical part in ensuring procedure readiness, cost control, vendor coordination, and compliance with regulatory and accreditation standards.
Essential Duties and Responsibilities- Coordinate ordering, receiving, stocking, and distribution of medical and surgical supplies for the ASC.
- Maintain accurate inventory levels for procedure-specific supplies, implants, and disposables.
- Monitor par levels and usage trends to proactively prevent shortages or overstock.
- Work closely with OR leadership, nursing, and anesthesia teams to ensure case readiness.
- Receive, inspect, and verify shipments against purchase orders and invoices.
- Track expiration dates and ensure proper stock rotation (FIFO).
- Ensure supplies are stored and labeled in accordance with infection control, safety, and regulatory requirements.
- Communicate with vendors regarding pricing, backorders, substitutions, and delivery schedules.
- Assist with cost-containment initiatives, standardization of supplies, and contract compliance.
- Maintain accurate inventory and purchasing records in inventory management or ERP systems.
- Support regulatory surveys, audits, and accreditation inspections (e.g., AAAHC, Joint Commission).
- Assist with special projects and other duties as assigned.
- High school diploma or equivalent required;
Associate’s degree preferred. - Minimum of 2 years of experience in materials coordination, inventory management, or supply chain; healthcare or ASC experience strongly preferred.
- Familiarity with surgical supplies, implants, and sterile processing concepts preferred.
- Strong organizational skills with high attention to detail.
- Ability to work independently in a fast-paced surgical environment.
- Proficiency in Microsoft Office; experience with inventory or purchasing systems preferred.
- Ability to lift and move supplies (up to 40 lbs).
