Position Summary
We are seeking a highly organized, professional, and compassionate Medical Scheduler to join our dedicated pain management team. This critical role involves scheduling procedures, follow-up appointments, and coordinating patient care while providing exceptional customer service. The ideal candidate will demonstrate outstanding communication skills, empathy, and discretion, ensuring patients feel supported throughout their treatment journey.
Key Responsibilities- Schedule patient appointments, including interventional pain procedures, consultations, and follow-up visits.
- Coordinate pre-procedure requirements
, such as imaging, lab work, or medical clearances. - Communicate clearly with patients regarding appointment logistics, procedure instructions, and timelines.
- Maintain an organized and accurate scheduling system using the electronic health record (EHR) system.
- Collaborate with providers, nurses, and administrative staff to ensure smooth clinical workflow.
- Handle scheduling changes, cancellations, and rescheduling needs in a prompt and courteous manner.
- Verify insurance authorizations and ensure all necessary documentation is completed prior to scheduled services.
- Address patient questions or concerns with empathy, professionalism, and clarity
. - Uphold patient confidentiality in compliance with HIPAA regulations.
- High School Diploma or GED required; associate degree or medical office certification preferred.
- Minimum of 1-2 years of medical scheduling experience, ideally in a specialty clinic such as pain management, orthopedics, or neurology.
- Proficient in electronic health records (EHR); experience with eClinical
Works is a plus. - Strong organizational and multitasking skills in a fast-paced environment.
- Excellent written and verbal communication skills.
- Demonstrated ability to interact with patients in a professional, empathetic, and respectful manner.
- Knowledge of medical terminology and insurance pre-authorization processes is a plus.
- Empathy & Compassion – Understands the challenges patients face with chronic pain and communicates with sensitivity.
- Professionalism – Maintains a calm, respectful demeanor with patients and team members.
- Attention to Detail – Ensures accuracy in scheduling and documentation.
- Team Collaboration – Works effectively with both clinical and administrative staff.
- Clinical office setting with standard business hours.
- Occasional need to adjust schedule to accommodate early or late procedures.
- May involve sitting for extended periods and using a computer and phone regularly.
