Position: New Patient Coordinator

Job Summary

This position is responsible for managing our New Patient Coordinators. This position will oversee all new patient referrals, the scheduling process, insurance verifying requirements, ensuring the team is providing excellent care, collaborating effectively with all departments, and cultivating a nurturing atmosphere. The New Patient Care Manager is responsible for the supervision, orientation, instruction, and on-going evaluation of all new patient care staff.

Functions

  • Oversees the New Patient department to ensure each New Patient Coordinator is following all processes and verifies new patient referrals in a timely manner.
  • Trains and oversees how all New Patient Coordinators are scheduling new patient appointments for multiple providers using computerized scheduling system.
  • Ensuring all New Patient Coordinators are trained on appropriate computer programs to validate insurance verification.
  • Imports and manages new patient packets from website and oversees any problems that may occur while importing.
  • Supports the team with the creation of new patient accounts within scheduler.
  • Provide training resources on how to obtain necessary medical record information from referring providers to complete new patient process.
  • Supports the New Patient Coordinators with electronically assigning documents such as orders, operation notes, consents, outside records, procedures, and therapies, using standard classification systems within the electronic medical record (EMR) chart.
  • Works with different team members to implement paperless workplace.
  • Supports team with their schedules and bills all IME’s (Independent Medical Exams) with attorney offices and Workman’s compensation companies.
  • Registers new patients by completing a website packet.
  • Documents work processes as required.
  • Always acts in a friendly manner toward all patients, family members, coworkers, and other internal or external customers.
  • Maintains confidentiality of information on patients.
  • Performs other duties as assigned by the team leader / managers.
  • Keeps an organized and clean work area.
  • Processes web based referrals (consults, emails and live chats)
  • Maintains patient spreadsheet, oversees all metrics, and ensures all team goals are maintained.
  • Serves as a preceptor for new Employees.
  • Competent in computer applications pertaining to position.
Qualifications
  • High school diploma or equivalent required.
  • Minimum of 2 years of customer service experience.
  • Experience as a new patient coordinator required.
  • Basic typing and keyboarding skills.
  • Strong oral and written communication skills.
  • Ability to multi-task efficiently and effectively.
  • Good interpersonal and organizational skills.
  • Highly detail oriented.
  • Ability to comprehend established office routines and policies.
  • Medical experience is helpful but not a necessity.
  • Tact and diplomacy.
