Description

Summary:

The Accounting Manager is responsible for managing all financial operations for Vida Connect, a for-profit organization. This includes oversight of Financial Management Services (FMS) and payroll processing for the Veterans Program as backend operations. The role ensures compliance with GAAP, tax regulations, and internal policies while supporting profitability and strategic objectives.

Responsibilities
  • Monitoring all income and bank balances to meet the company's financial obligations and needs.
  • Performs various general accounting functions such as journal entries, account reconciliations, special reports, pension fund contributions, etc.
  • Oversee all accounting functions including accounts payable, accounts receivable, payroll, and general ledger.
  • Manage Financial Management Services (FMS) operations ensuring accurate and timely processing of transactions.
  • Handle payroll processing for the Veterans Program, ensuring compliance with all applicable regulations.
  • Prepare monthly, quarterly, and annual financial statements in accordance with GAAP.
  • Monitor cash flow, income, and expenses to maintain financial health and meet operational needs.
  • Develop and implement internal controls to safeguard company assets.
  • Coordinate tax filings and ensure compliance with federal, state, and local regulations.
  • Support annual audits and liaise with external auditors.
  • Supervise Fiscal Specialist and reviews all invoices for payment.
  • Manage the preparation of financial statements, schedules, and confirmation letters for the annual audit.
  • Manage/Coordinate accounts payable and receivable, including monitoring, verification, and coding procedures to ensure accuracy.
  • Manage accounts receivable, cash receipts and revenue. Prepare billing invoices and collections.
  • Work with teammates on vendor-related issues. Foster a culture of service within the accounting department.
  • Manage 1099 preparation through the organization’s financial system.
  • Manage the documentation and data entry required for the purchase and fixed asset system.
  • Oversee the administration of the organizations Procurement card (P-card) program.
  • Examine payroll and employee expense activity to ensure payroll and expense journal entries are accurate.
  • Research and review discrepancies in payroll and expense information and documentation to ensure accuracy, and implement corrective measures.
  • Prepare written reports, memos, correspondence, procedures to document activities, provide written reference, and convey information to CFO.
  • Assist in all month-end, quarter-end, and year-end closing activities including journal entry review/posting, balance sheet reconciliations and expense allocation, etc.
  • Maintain accounting procedures and ensure they are followed.
  • Ensure timely and accurate payment of expenses for employees, volunteers, and vendors, and in accordance with the organization’s cash management procedures.
  • Maintains the day to day operation of the Agency’s accounting system including general ledger, disbursement journals, receipt journals, etc.
  • Perform and complete special projects and other duties as assigned by Executive Director.
Supervisory Responsibilities
  • Directly supervise four non-supervisory employees. Is responsible for the overall direction, coordination, and evaluation of these units. Responsibilities include interviewing, and training employees; planning, assigning, and directing work; appraising performance; rewarding and discipline employee; addressing complaints and resolving problems.
