We are currently searching for a Senior Payroll Administrator to join our collaborative Accounting Team in Jacksonville!

Qualified candidates will be trustworthy, conscientious, organized, communicative, results-driven self-starters with strong analytical, mathematical, and administrative skills, with a passion for best practices, innovation, and problem solving.

The Senior Payroll Administrator will be responsible for processing the company’s payrolls, as well as account reconciliations, reporting, and automating accounting systems and processes.

ESSENTIAL FUNCTIONS
  • Responsible for processing biweekly payroll for 2,000+ employees using UKG Pro Pay, made up of a 90% hourly non-exempt / 10% salaried exempt workforce
  • Oversee UKG Time & Attendance, ensuring timecard integrity, data, and approvals
  • Manage workflow and adhere to a strict payroll processing timeline, ensuring all payroll transactions are processed accurately and timely
  • Understand proper taxation for multi-state employees, employer-paid fringe benefits, and quarterly tax reporting requirements
  • Process garnishment calculations, other income with holdings accurately and compliantly
  • Review and process employee expense reimbursements within payroll batches
  • Reconcile payroll prior to all transmissions and validate confirmed reports
  • Advanced payroll reporting and analytics
  • Create custom recurring and ad hoc reports for Finance, HR, Operations, Veterinary, and other corporate departments
  • Perform payroll cost analysis and forecasting
  • Work closely with HR to ensure the integrity of payroll data, including data related to new hires, terminations, transfers, and rate, position, and status changes
  • Address and respond to payroll inquiries from current and past employees and management
  • Manage all year-end procedures, including but not limited to W-2’s, 401(k) and Workers’ Compensation audits, PTO accruals, and account reconciliations
  • Perform other payroll duties, requests, and projects as assigned
  • Accounting Functions:
    • Reconcile GL to expense cards and bank account activity
    • Analyze current procedures in order to improve, develop, and recommend changes to implement
    • Communicate effectively with team to ensure timely financial reporting
    • Participate in special projects, as needed
QUALIFICATIONS
  • 5+ years of payroll processing experience, preferably in UKG, and 2+ years of general accounting experience
  • Bachelor’s degree in business, accounting, or related field (or equivalent work experience)
  • Hands-on experience with multi-state payroll and tax laws, accounting software, system integrations, compliance, and process optimization
  • Experience with UKG Pro Pay, UKG Time & Attendance, UKG Workforce Management, and UKG People Analytics highly preferred
  • Advanced Microsoft Office skills, including proficiency with Excel (VLOOKUP, pivot tables, etc.)
  • Ability to effectively communicate and build relationships with all levels of the organization, including corporate team, managers, hourly employees, remote staff, and outside vendors and auditors
  • Comfortable exercising discretion when dealing with sensitive employee data and payroll information, ensuring confidentiality at all times
  • Skilled at prioritizing, multitasking, collaborating, effectively communicating, and making informed decisions
  • Organized, detail-oriented team player who can work independently as needed
  • Work onsite in an office environment at Pet Paradise HQ, in the San Marco area of Jacksonville
  • Authorized to work in the US without sponsorship and ability to pass a criminal background check
