We are seeking a Pre-Construction Coordinator to support our estimating and preconstruction efforts by providing administrative, organizational, and process support. This role plays a key part in keeping preconstruction operations accurate, compliant, and running efficiently.
What You’ll Do Pre-Construction & Bid SupportAssist with researching bid opportunities that align with company objectives and goals.
Procure bid plans and specifications; set up bid files and maintain Outlook bid calendars.
Create and maintain estimating spreadsheets, including bid calendars, pre‑bid schedules, bid results, and bidding statistics.
Maintain databases of project profiles, resumes, and company history.
Manage bid documents for bonding requirements and coordinate bid bonds accordingly.
Deliver bids or arrange for bid delivery as required.
Ensure all company licenses, certifications, and standing requirements remain current.
Record and distribute bid results; collect bid tabulations and prepare for analysis.
Produce project‑specific prequalification packages for bidding pre‑qualification.
Compliance, Documentation & CoordinationAnalyze bid documents for insurance coverage and solicit verification of compliance and/or pricing as needed; work with PSC Insurance providers to ensure estimates comply with contractual insurance requirements.
Assist with research and implementation of systems to improve preconstruction and estimating processes.
Solicit project‑specific vendors (MBE, JSEB, or similar) and compile good‑faith effort documentation.
Attend pre‑bid meetings, site visits, or other meetings as required.
Prepare final bid packages in compliance with specifications and instructions to bidders.
Maintain organized bid files and supporting documentation.
Assist estimators as needed with preconstruction coordination tasks.
Complete annual pre‑qualification applications with applicable agencies, municipalities, utility companies, and potential clients.

What We’re Looking For Experience & SkillsPrior experience in construction administration, preconstruction support, or a related role preferred.
Strong organizational skills with the ability to manage multiple deadlines simultaneously.
High attention to detail and accuracy.
Effective written and verbal communication skills.
Proficiency with Microsoft Office (Outlook, Excel, Word).
Ability to work independently and collaboratively within a team environment.
