Position: READ USA Executive Assistant

The Executive Assistant to the Chief Executive Officer (CEO) is a highly skilled administrative professional responsible for providing direct executive-level support. This role requires sound judgment, exceptional organizational skills, and the ability to manage confidential information with the utmost discretion. Responsibilities include advanced administrative, operational, and clerical duties to ensure the CEO’s office functions efficiently and effectively in alignment with organizational goals.

This position requires excellent communication and decision‑making abilities and a proactive approach to anticipating needs, solving problems, and maintaining professionalism in all interactions.

Essential duties and responsibilities
  • Administrative and Executive Support
    • Manage the CEO’s calendar, coordinate internal and external meetings, schedule appointments, and proactively resolve scheduling conflicts.
    • Prepare briefing materials, presentations, agendas, and meeting minutes for executive meetings and board activities.
    • Handle CEO email communications, drafting responses, tracking requests, and ensuring follow‑up as needed.
    • Maintain strict confidentiality of all sensitive materials, including personnel matters, financial documents, board correspondence, and legal information.
  • Operations and Office Management
    • Draft, format, proofread, and distribute correspondence, reports, and memos independently or under direction.
    • Maintain filing systems (digital and physical), organize records, retrieve information, and ensure accurate documentation in compliance with organizational and legal standards.
    • Coordinate travel arrangements, prepare itineraries, and process travel reimbursements and related expenses.
    • Order office supplies and manage inventory to ensure continuous office operations.
    • Prepare and track purchase orders and assist with basic budget monitoring.
  • Project and Program Support
    • Support the CEO in preparation for board meetings, including communications, materials distribution, and logistical arrangements.
    • Collaborate with team members on cross‑functional projects, tracking deliverables and assisting with internal and external communication.
    • Coordinate logistics for events, meetings, and site visits related to READ USA programming.
  • Communication and Public Interaction
    • Serve as a liaison for the CEO with staff, board members, partners, and community stakeholders.
    • Greet visitors and respond to inquiries with professionalism and knowledge of organizational policies and procedures.
    • Represent the organization positively and professionally in all communications, both internal and external.
  • Other
    • This is a primarily sedentary position, requiring regular use of computers and standard office equipment.
    • Ability to lift and carry up to 15 pounds occasionally.

      Must be able to travel to off‑site meetings and events within the region as needed.
    • This is a part‑time, in‑person role. Remote work is not offered at this time.

  • Knowledge of nonprofit organizations and familiarity with educational programming.
Education and Experience
  • Minimum of five (5) years of progressively responsible experience as an executive or administrative assistant, or equivalent combination of education and experience.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and video conferencing tools (e.g., Zoom, Teams).
  • Exceptional writing, editing, and proofreading skills.
  • Prior experience supporting C‑suite executives.
  • Experience with CRM or document management platforms.
  • Ability to anticipate needs and operate with a high degree of initiative.
Salary/Salary Range

$24‑$26 per hour
