Our organization is seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide exceptional administrative support to the Executive Director. This role is vital in ensuring the Executive Director’s day-to-day operations run smoothly while also supporting organizational events, communications, and key initiatives. Key ResponsibilitiesAssist the Executive Director with daily administrative needs to ensure seamless workflow.
Relieve the Executive Director of routine administrative duties, including fielding phone calls, emails, letters, meeting requests, and coordinating communication with staff and external contacts.
Draft letters, emails, memos, reports, charts, and additional correspondence on behalf of the Executive Director and the organization.
Prepare materials, reports, and presentations for operational, fundraising, and board-related commitments.
Proactively manage departmental priorities, tracking important deadlines and key dates.
Coordinate onsite and offsite meetings, events, and trainings—managing attendee lists, facility arrangements, equipment needs, and catering.
Arrange domestic and international travel itineraries for staff and VIP participants for trainings, conferences, and fundraising initiatives.
Work collaboratively with vendors, contractors, and volunteers to ensure timely delivery of services and event needs.
Assist in planning and executing fundraising events, donor dinners, and community outreach activities.
Maintain organized records, files, and documentation for the Executive Director and the organization.
Manage incoming and outgoing mail, packages, and shipments.
Manage social media platforms, posting updates and assisting with basic content coordination.
Bachelor’s degree or an equivalent combination of experience, training, and skills.
Previous experience providing executive-level administrative support required.
Strong commitment to working in a fast-paced, team-oriented, and mission-driven environment.
Exceptional verbal and written communication skills; articulate and professional.
Highly organized with excellent attention to detail, follow-up, and time-management abilities.
Proven ability to take initiative, work independently, and anticipate needs.
Strong multitasking skills; able to assess priorities while maintaining composure and diplomacy.
Willingness to work extended hours when needed and remain accessible via email/cell phone.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Availability to attend community events and functions outside of standard work hours.
Valid driver’s license, reliable vehicle, and proof of insurance required.
Must pass a background check.
Part-Time Position – 30 hours per week
