The Opportunity

We are currently seeking a Senior HR Coordinator. This is an in‑office role based out of our corporate office in Jacksonville, Florida.

The Senior HR Coordinator provides comprehensive operational and logistical support to the Talent & Organizational Effectiveness (OE) teams. This includes supporting hiring processes, coordinating interviews, managing candidate travel, maintaining accurate data, and ensuring smooth execution of pre‑employment workflows. The role also provides in‑office support in Jacksonville, assisting with training and talent development logistics, culture and inclusion programming support, event preparation, office coordination, mail processing, and general administrative tasks.

The Senior HR Coordinator will gain broad exposure across multiple areas of HR and is encouraged to identify efficiencies, streamline workflows, and leverage tools and technology to improve processes.

Duties and Responsibilities:

  • Support pre‑employment and TA operations, including background check follow‑up, status updates, referral and conversion tracking, and resolving data discrepancies in partnership with HR Operations.
  • Maintain accurate data, trackers, and documentation across talent management and OE workflows, including spreadsheets, logs, and internal resources.
  • Deliver in‑office support, including mail scanning/distribution, check routing, conference room management, and general office coordination.
  • Identify opportunities to streamline or automate workflows using tools and templates and present recommended improvements to leadership.
  • Support event, training, and career fair logistics, including coordinating materials, shipping displays and supplies, managing onsite setup, ensuring proper return shipment of items, and assisting with day‑of logistics and staffing needs.
  • Coordinate interview logistics, including scheduling phone, video, and in‑person interviews; managing interview panels; arranging candidate travel and expense reimbursements; communicating updates to candidates; and ensuring a positive and seamless candidate experience throughout the process.
  • Monitor and order supplies, including swag inventory, training materials, and other Talent‑related operational needs.
  • Provide comprehensive administrative support to the SVP of Talent & OE and the broader team by coordinating meetings, preparing documents, managing correspondence and calendars, and processing, coding, and tracking invoices to ensure accurate documentation for vendor and budget processes.
  • Performs all other duties as assigned.

Qualifications:

  • Associate’s degree in human resources, business administration, or related field preferred or equivalent combination of education and experience.
  • 3+ years of coordination or operational support experience, preferably within Human Resources. Additional education beyond minimum requirements may substitute for years of experience. Experience should include:
    • Scheduling or logistical coordination across multiple stakeholders.
    • Working with spreadsheets, tracking documents, or databases.
  • Support requiring confidentiality and attention to detail.
  • Strong proficiency with Microsoft Office (Outlook, Excel, Word, PowerPoint).
  • Excellent organization and time management skills with the ability to manage competing priorities.
  • Strong attention to detail and accuracy in data entry and documentation.
  • Effective communication and customer service skills with candidates, associates, and leaders.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Comfort working onsite to support events, logistics, and office operations.
  • Ability to collaborate effectively with internal partners.
  • Aptitude for identifying process improvements or developing efficiencies through tools and templates.
  • Able to sit and/or stand for prolonged periods of time. Occasionally required to sit and stoop.
  • Specific vision abilities required by this job.

Preferred Qualifications:

  • Internship or project experience in Human Resources.
  • Experience scheduling interviews or coordinating candidate travel.
  • Experience with an Applicant Tracking System (ATS), HRIS, or other workflow systems.
