We are currently searching for an Office Assistant to join our headquarters team in the San Marco area of Jacksonville, FL!

Overview

The HQ Office Assistant is responsible for all front office activities at the company’s corporate office, including managing the reception area and kitchen, purchasing requests, mailings, facilities, and overall coordination. They will support the Executive Management Team (EMT) with administrative tasks, such as scheduling meetings and coordinating travel, and ensure the office runs smoothly. The ideal candidate is a great communicator with strong organizational skills, a high level of trustworthiness, and a positive and service-minded attitude to support a customer-centric, high-growth business.

Responsibilities
  • Performing administrative, clerical, and organizational support activities, ensuring the efficient utilization of office services and equipment, in a professional and productive working environment.
  • Greeting visitors, attending to inbound and outbound phone calls, and handling various mail and electronic communications, both internally and externally.
  • Negotiating the purchase of office supplies and furniture, office equipment, etc., in accordance with company purchasing policies and budgetary restrictions.
  • Responsible for facilities and day-to-day operations, including managing and distributing building access keys, supply requests and inventory, kitchen and reception cleanliness, and serving as liaison with building management.
  • Coordinating all catering requests, managing menus, budgets, and day-of logistics.
  • In charge of the maintenance and alteration of office areas and equipment, as well as layout, décor, arrangement and housekeeping of office facilities.
  • Communicating professionally to office personnel with building updates, emergency procedures, equipment status changes, etc.
  • Assisting with new hire uniforms and other needs of resort and clinic employees.
  • Tracking inventories and ordering items as needed within budget guidelines.
  • Leading administrative efforts for planning company events at the HQ office.
  • Supporting onboarding of new hires by ensuring proper equipment, supplies, business cards, and workstation set-up.
  • Delivering administrative support to all departments at the corporate office.
  • Participating as needed in special department and company projects.
  • Some local travel in the Jacksonville area may be required.
Qualifications
  • 3+ years of work experience performing administrative tasks in a professional office environment.
  • Associates degree preferred (preferably in Business Administration, Office Management, or related discipline).
  • Working knowledge of Microsoft Office 365 suite of products (especially Outlook).
  • Basic level understanding of IT and other office equipment.
  • Skilled at prioritizing, multitasking, effectively communicating, and making office-level decisions.
  • Organized, detail-oriented team player who can work independently as needed.
  • Ability to lift office and kitchen products and supplies, up to 20 lbs.
  • Work Monday through Friday during normal business hours, on-site at Pet Paradise HQ.
  • Authorized to work in the US without sponsorship and ability to pass a criminal background check.
