Administrative Manager II | Executive Admin Downtown | Days
Perform diversified administrative responsibilities, supporting Department senior leadership and related faculty with administrative support services.
Responsibilities- May supervise clerical and administrative personnel by communicating job expectations, assigning tasks, appraising job results, and performing employee corrective actions.
- Assist Chair/Director in any administrative tasks assigned.
- Provide input for administrative staff recruiting, selecting, orienting, and training employees.
- Prepare and process physician recruitment related activities for searches, staff appointments, credentials, promotion and tenure, immigration requirements for candidates in accordance with Compliance and Administrative Affairs offices.
- In collaboration with Director, initiate and coordinate goals and deadlines; create reports and communicate data metrics; assist with projects and developing and implementing policies and procedures to improve administrative operations and function of the department.
- Maintain and process department payroll; maintain and update personnel files for faculty; monitor calendars, coordinate/schedule meetings.
- Ensure travel reimbursement/expenses for faculty are submitted in a timely fashion; reconcile and submit monthly expense reports as needed.
- Type correspondence, schedule appointments, set interview itineraries for faculty and staff, assist with setting monthly faculty meeting agenda.
- Order supplies and equipment for department staff and faculty.
- May approve leave requests for staff.
- Experience:
3 years of administrative support experience in a medical office or medical‑related facility; 1 year of supervisory experience and/or Executive Assistant experience. - Education:
High School Diploma required;
Associate’s degree in Business or related field preferred. - Supervises: 1–2 Senior Medical Secretaries, 1–2 Administrative Assistants.
