Project Accounting Associate III – GAI Consultants, Inc.

Location: Jacksonville, FL

Overview

GAI Consultants is seeking a Project Accounting Associate III to support Project Managers throughout the project life cycle, including budgeting, invoicing, accounts receivable, and project financial reviews.

Key Responsibilities
  • Assist Project Managers in establishing project budgets and reviewing client invoices.
  • Coordinate accounts receivable and work‑in‑progress reviews.
  • Conduct monthly and bi‑weekly project financial reviews (earnings report, A/R, WIP, backlog).
  • Set up new projects, train staff, and submit project information.
  • Create WBS and input budgets (contract, cost & billing) in Vantagepoint.
  • Develop billing terms, review contracts for invoicing instructions, and verify project budgets for accuracy.
  • Notify Project Managers upon completion of tasks.
  • Prepare and review invoicing drafts, correct mischarges, and vet sub‑consultant invoices.
  • Ensure employee labor and expenses are recorded on the same task/sub‑task.
  • Maintain accounting notes in the EI field and set up invoicing review meetings.
  • Manage accounts receivable and WIP reviews, generate past‑due reports, and confirm client communication.
  • Document comments in Vantagepoint and track project financial performance.
Qualifications
  • Minimum 4+ years of experience in project accounting or related field.
  • High School Diploma or GED; post‑secondary technical coursework preferred.
  • Valid driver’s license.
Additional Requirements
  • Occasional planning and coordination of detailed project aspects.
  • Assists with preparation of project scopes, schedules, and plans.
  • Handles complex problems with guidance, attends project meetings, and presents specific assignments.
  • Effective communication with technical and non‑technical audiences; collaborates across internal and external teams.
