This is a full-time, in-office position with a fixed schedule from 8:30 AM to 5:00 PM, Monday through Friday.
Bilingual Spanish/English fluency is required.
Key Responsibilities
- Conduct pre-screenings for applicants seeking immigration services.
- Schedule appointments and maintain an accurate, up-to-date office calendar.
- Greet and check in clients in a professional and friendly manner.
- Support client casework by answering incoming calls, making outgoing calls, emailing clients, returning messages, directing calls, and preparing correspondence.
- Copy, scan, and organize documents provided by clients.
- Utilize telephonic interpreter services when needed and provide in-person Spanish/English interpretation for staff.
- Assist with entering and opening new cases in the case management system.
- Help with file organization, including preparing files to be closed.
- Perform general administrative tasks such as data entry, filing, copying, and maintaining office organization.
- Manage incoming and outgoing mail, packages, and deliveries.
- Carry out additional duties as assigned to support office operations and workflow.
- Fluent in Spanish and English (verbal and written).
- Strong computer proficiency, including experience with Microsoft Office 365.
- Ability to work effectively in a fast-paced environment with frequent client interaction.
- Experience handling high call volumes and managing busy front-desk responsibilities.
- Prior experience in immigration services or legal support preferred but not required.
- At least 1 year of experience as a receptionist, administrative assistant, guest services specialist, or similar role preferred.
- Strong communication skills, attention to detail, and ability to multitask.
