Our client is seeking a Part–Time Property/Building Manager to oversee the management of a luxury residential building in St Johns Wood.
Position: Property/Building Manager (Part–Time)
Salary: GBP
20–25,000 per annum
Working Hours: Monday to Friday, 20 hours per week
Key Responsibilities1. Building & Operational Management
- Act as the primary point of contact for residents on day–to–day management matters
- Arrange, supervise, and follow up on repairs and maintenance
- Instruct and manage contractors and suppliers
- Obtain and assess quotations; recommend contractors to the Board
- Ensure common parts are properly maintained
- Maintain records of works, inspections, and warranties
2. Financial & Accounting Responsibilities
- Receiving and processing invoices
- Making supplier and contractor payments
- Maintaining bookkeeping records (income, expenditure, accruals)
- Reconciling bank statements
- Preparing draft annual budgets for Board review
- Issuing service charge demands
- Tracking service charge receipts and arrears
- Liaising with auditors and responding to audit queries
- Ensuring financial records are properly maintained and accessible
(Use of accounting software and/or digital tools is expected; support and systems will be agreed with the Board.)
3. Compliance & Governance Support- Maintain key statutory and compliance records (insurance, fire safety, health & safety, etc.)
- Assist the Board with governance administration, including:
- Board meeting preparation
- Circulation of papers
- Drafting and storing meeting minutes
- Interface with Companies House and HMRC advisers to ensure filings are made on time
- Maintain the company's digital records and document repository
- Communicate professionally with residents, contractors, advisers, and auditors
- Escalate significant issues or risks promptly to the Board
- Support the Board in maintaining transparent and professional management standards
Essential
- Proven experience in residential property or block management
- Strong organisational and administrative skills
- Comfortable handling financial administration and bookkeeping
- High level of discretion, integrity, and reliability
- Confident communicator, able to work independently
- Good working knowledge of Microsoft Office / Google Workspace (or equivalent)
Desirable
- Experience working for a managing agent, estate office, or resident–owned company
- Familiarity with service charge accounting and leasehold management
- Knowledge of Companies House and basic company compliance
- Experience managing a single residential site or small portfolio
- Part–time or flexible working background
