This position is onsite at Ine Energy Plaza in Jackson, Michigan. The selected candidate must commute or be willing to relocate.

General Summary of

Job Responsibilities

The Senior Administrative Assistant oversees day‑to‑day administrative functions of a department, acting as the information source for internal and external customers regarding policies, procedures, and activities. The incumbent handles sensitive and confidential information, resolves routine and complex inquiries, and supports department leaders.

Essential Duties and Responsibilities
  • Assist the department leader with financial duties, reviewing and reconciling expenses and invoices from meetings and conferences.
  • Coordinate travel arrangements, including transportation and itineraries.
  • Participate in special projects, preparing and completing required deliverables.
  • Research, gather data, summarize findings, and prepare reports with recommendations.
  • Plan, schedule, and coordinate meetings, conferences, and special events.
  • Take meeting minutes and represent the department in assigned meetings.
  • Attend committee meetings, planning agendas and scheduling.
  • Compose correspondence and other written materials.
  • Develop PowerPoint presentations and Excel spreadsheets as needed.
  • Provide peer review of documents before final production to ensure quality control.
  • Maintain inventory of supplies.
  • Analyze information and communicate solutions to resolve administrative issues.
  • Recommend improvements to department operations.
  • Train and assist other staff in the department.
  • Oversee onboarding and offboarding of employees.
  • Provide supervision, guidance, and assistance to lower‑level support staff on administrative policies and procedures.
  • Oversee and coordinate office workflow.
  • Resolve routine and complex correspondence from internal and external phone calls, e‑mails, and letters.
  • Manage multiple calendars for a department.
  • Serve as the liaison between the department and other administrative units.
  • Perform other duties as assigned or necessary.
Knowledge, Skills, and Abilities
  • Excellent written and verbal communication skills.
  • Strong organizational and time‑management skills.
  • Ability to analyze situations and resolve complex issues.
  • Ability to organize and prioritize multiple assignments.
  • Advanced proficiency in various computer software programs.
Education & Experience
  • Associate degree in a related field with four (4) or more years as an administrative assistant, OR
  • High School Diploma or GED with six (6) or more years as an administrative assistant.
