Domestic Operations Coordinator / Specialist
Position Overview
The Domestic Operations Coordinator/Specialist manages U.S. domestic and cross-border freight shipments, including LTL, FTL, expedited, white glove, and trade show logistics. As a Domestic Operations Coordinator/Specialist, you will be responsible for processes and procedures used in freight forwarding activities, while operating within a team to coordinate, process, and manage all domestic logistics related to our outgoing business flows from our various production facilities and 3rd party warehouses.
Ensuring timely and accurate movement of freight and information, while providing exceptional customer service within the Domestic Operations Department.
- Coordinate domestic and cross-border shipments from pickup through delivery.
- Prepare accurate and competitive freight quotes, ensuring alignment with service requirements and margins.
- Schedule pickups and deliveries based on customer needs and service commitments.
- Monitor shipments, provide updates, and proactively resolve transit issues.
- Serve as a key point of contact for customers regarding orders, delivery schedules, and service inquiries.
- Communicate professionally via phone and email to provide updates and resolve issues.
- Prepare and review shipping documentation including BOLs, rate confirmations, and PODs.
- Manage time-sensitive trade show and exhibition freight to meet strict delivery windows.
- Build and maintain strong carrier relationships to support service performance and pricing.
- Review shipment profitability, manage accessorials and re-rates, and assist with billing approvals.
- Investigate and resolve freight claims (damage, delay, loss).
- Enter and maintain accurate shipment data in Cargo Wise and internal systems.
- Collaborate with sales, accounting, and warehouse teams to ensure smooth operations.
- Other duties as assigned.
- Bachelor's degree preferred or equivalent combination of education and work experience.
- 2-4 years of domestic transportation or freight forwarding experience (LTL/FTL required).
- Experience preparing and managing freight quotations.
- Strong knowledge of domestic carrier networks and service levels.
- Experience managing high-volume, time-sensitive shipments.
- Excellent customer service, communication, and organizational skills.
- Ability to prioritize and solve problems in a fast-paced environment.
- Proficiency in Microsoft Office 365.
- Cargo Wise (CW1) experience preferred.
- Experience coordinating trade show, white glove, expedited, or cross-border freight.
- Experience in a 3PL or freight forwarding environment.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds.
- Must be eligible to work in the United States.
- Full-time, Monday through Friday (8-hour shift)
Salary: $50000 - $55000 per year
