The Guest Service Administrator serves as the operational heartbeat of the property, bridging the gap between front‑of‑house excellence and meticulous back‑office coordination. In the world of Aman, luxury is defined by seamlessness. This role ensures that every guest's journey is expertly planned, documented, and executed, managing the administrative logistics that make "unscripted" service possible.
Key Responsibilities
Operational Logistics: support the FOH teams performing the administrative side of guest experiences, including private transfers, heliskiing arrangements, restaurant reservations, and bespoke Alpine excursions.
Pre-Arrival Excellence:
Manage comprehensive pre-arrival correspondence to identify and document guest preferences, dietary requirements, and special celebrations, ensuring the team is prepared long before the guest arrives.
Administrative Precision:
Oversee guest billing profiles, deposit collections, and the reconciliation of third‑party vendor invoices, ensuring total accuracy in financial records.
Data Stewardship:
Maintain and enrich the Guest History database (CRM), capturing nuanced details that allow for the highly personalized recognition Aman is known for.
Departmental Liaison:
Act as the central communication hub between the FOH and Finance departments to ensure a unified flow of information.
The Ideal Profile
Experience:
A minimum of 1-2 years in a back‑office, administrative, or concierge support role within a 5‑star luxury environment or high‑end hospitality setting.
Technical Proficiency: knowledge of Property Management Systems (e.g., Opera, MEWS) and high literacy in the Microsoft Office Suite, particularly Excel.
Language
Skills:
Full professional proficiency in English and Italian.
Core Competencies:
Exceptional organizational skills, an eye for the smallest details, and the ability to remain poised and efficient in a fast‑paced, high‑pressure environment.
