What you will be doing:

Collaborate with the Administrative Manager in activities such as:

Managing the company car fleet of 140 vehicles, including lease contracts, invoice control and related administration.

Handling company mobile phone contracts (approximately 200) and coordinating hardware orders.

Maintaining corporate office facilities, setting up meeting rooms, and ensuring smooth day‑to‑day operations.

Supporting equipment maintenance activities, both preventive and corrective.

Monitoring utilities services (electricity, water, gas, telephony, etc.) at headquarters and responding promptly to emergencies or alarms.

Procuring stationery, furniture, and all non‑core company assets in line with Group policies.

Coordinating contractual arrangements for assigned services and goods, managing relationships with suppliers.

Validating supplier invoices and preparing KPI reports to ensure accurate financial control.

Providing support for external tasks such as visits to banks, car rental companies or post offices.

Acting as backup for the Admin & Facility Manager during periods of absence.

Assisting with the organisation and administration of events and meetings.

The ideal person:

Possesses a diploma or degree with at least three years of experience in a similar administrative or facilities role.

Demonstrates knowledge of managing supply contracts, rental agreements and leasing arrangements.

Applies strong skills in Microsoft Office; experience with SAP is a plus.

Communicates effectively in both English and Italian, verbally and in writing.

Holds a valid B driving licence and is comfortable travelling for occasional external tasks.

Collaborates effectively within a team, demonstrating a proactive and supportive attitude.
